Job description

INDIGENOUS EDUCATION ADMINISTRATIVE ASSISTANT

There is a position available for an Indigenous Education Administrative Assistant at the Indigenous Education Centre. Applications must be completedonline and will be accepted until noon, July 3, 2025.

Reporting to the Administrative Officer(s) or Supervisor, this position is responsible for record keeping, reception and clerical duties. Applicants selected for interview will be required to perform a typing, Excel, and Bank Deposit test, as well as other standards set by the School District.

Hours of Work:(7) hours per day
Duties to Commence:September 2, 2025
Work Year Base:Ten (10) months per year
Commencing Salary:$29.32/hr

Duties to be assigned include:

  1. Organizes work ensuring that deadlines such as 1701, year end reports and budgets are met.
  2. Maintains a variety of files pertaining to administration and Indigenous Education Council, Local Education Agreements, District schools, personnel, students, etc.
  3. In conjunction with site Administrative Assistants, maintain and update student records such as registration forms, 1701, MyEd, and regular Insight records.
  4. Work closely with Indigenous Education Principal, staff, Indigenous Education Coordinators/Managers and parents to verify and maintain accurate student records.
  5. Performs reception duties, such as dealing with students, parents/guardians, Indigenous communities, Indigenous organizations, Indigenous Education Council, and staff.
  6. Receiving visitors, handling general inquiries, handling incoming and outgoing mail, answering and redirecting incoming calls and relaying messages.
  7. Performs a wide variety of word processing, event posters, surveys, registration(s) (staff and student), travel arrangements (as required), regular website updates and other computerized tasks.
  8. Support meetings/events (including organization and transcribing as needed) that include local Elders, Knowledge Keepers, or community members and make them feel welcomed when they visit the office.
  9. Maintain professionalism when helping organize and coordinating traditional events (e.g., tea dances, sweats, community gatherings) while being respectful of cultural needs.
  10. Ensure that your work as an Administrative Assistant respects Indigenous cultures, traditions, and protocols. Handle confidential cultural knowledge or sensitive information shared with the organization.
  11. Performs various administrative duties to support Indigenous Education in special initiatives and projects such as Annual Planning Day, Doig Day, Orange Shirt Day, Truth and Reconciliation, Indigenous Grad Barbecue and other presenters scheduling.
  12. Supports cultural gatherings (which may be scheduled outside of the regular work hours) such as local Pow Wows, Language Initiatives, Doig Day, Indigenous Education Graduation and Student Recognition events. Attend events at the request of the Administrator and the availability of Administrative Assistant coverage.
  13. Monitors school/department accounts and ensures that invoices are accurate, properly coded and authorized; issues payments and receipts, records, collects and deposits monies and reconciles monthly bank statements. Maintains and balances petty cash as needed. Maintains Principal's Trust Account as needed.
  14. Maintains and codes accounts receivable/payable, prepares invoices and mileage reimbursements, records payments received and reconciles outstanding invoices in a timely manner.
  15. Completes Ministry and District year-end Balance form(s) for submission as required under the direction of the Administrative Officer(s) or Supervisor.
  16. Assists in arranging for and maintaining records for staff in the event of absence or illness.
  17. Understand and implement the Truth and Reconciliation Calls to Action and the Declaration on the Rights of Indigenous Peoples Act.
  18. Performs minor first aid as required.
  19. Performs other job-related duties as directed by the site Administrative Officer(s) or Supervisor.


Qualifications and Attributes:

  • Grade 12 or equivalency
  • Up to 2 years of recent (within 5 years) experience
  • Word processing and computer skills
  • Understanding of basic accounting principles
  • Ability to manage difficult conversations in a professional manner
  • Knowledge of the Truth and Reconciliation Calls to Action and the Declaration on the Rights of Indigenous Peoples Act.
  • Demonstrated understanding of Indigenous culture, protocols, and local communities and the ability to build and maintain trusting relationships with community members.
  • Must meet clerical, typing (40 w.p.m.) and other standards set by the School District. The whole of the results of the testing will be considered in the hiring process.
  • Ability to work independently and set priorities
  • W.H.M.I.S. Certificate and other online safety training provided by the District to be completed within the probationary period
  • May be required to obtain Food Safe Certification
  • Good interpersonal skills and the ability to be an integral part of a team
  • Must be able to pass a Vulnerable Sector Criminal Records Search conducted by the District prior to starting employment
  • Preference will be given to qualified applicants of Indigenous ancestry (per Human Rights Variance). Proof of ancestry is required
