Job summary

Grantbook in Toronto seeks two full-time consultants to join the Delivery team. You’ll implement and integrate grantmaking cloud solutions, while championing user-friendly design and clear communication with clients.

You will configure, test, and document workflows, dashboards, and portals across client engagements, with emphasis on translating business needs into technical designs and enabling AI-enabled enhancements.

Qualifications

  • Two–three years configuring and adopting cloud solutions, preferably in philanthropy.
  • Ability to translate business needs into technical design.
  • Two–three years data experience in an organizational setting.
  • Proficiency with cloud tools (G Suite, Office 365, Salesforce, Box, Dropbox, Asana).
  • Experience with Fluxx, GivingData, SurveyMonkey Apply, Salesforce, SmartSimple.
  • Experience with APIs and relational databases.
  • Familiarity with HTML, CSS, and Liquid code.
  • Interest in applying AI to grantmaking workflows.
  • Strong written and oral communication; capable of independent work in hybrid setting.

Responsibilities

  • Work with project managers as the technical resource on implementation, setup, deployment and ongoing support of grantmaking cloud solutions.
  • Configure forms, workflows, dashboards and reports in the base cloud application product, starting with Fluxx.
  • Test builds with complex requirements and diverse data scenarios.
  • Create user stories/testing checklists to support client review and validation of the system build.
  • Lead or support discovery meetings to map business processes to system requirements.
  • Set up online portals for applications, reports and payments.
  • Automate emails and communications between the foundation and applicants.
  • Build reports for foundation boards and directors on funds and impact.
  • Monitor releases and advise on features to test, deploy and support.
  • Advise on AI opportunities and integration into workflows.
  • Triaging support tickets to identify impacted components and solutions.
  • Use middleware tools like Workato and Power Automate to build API integrations.
  • Execute dataset tasks: audits, migration, cleansing, deduplication, visualizations.
  • Produce client-specific training documentation, including on-site training and tutorials.
  • Monitor technology adoption and provide enhancements as needed.

Salary: $67,320 - $79,560

You are a self-motivated tech specialist who is equally adept at communicating with computers as you are at communicating with people. You don't need to be a programmer, but you have a great grasp on how technology works. You might be great at system administration, cloud software configuration, integration, or data management, but your hidden talent is championing the user's voice and explaining technology in simple terms.

Expected Outcomes

At Grantbook, you'll be part of the Delivery team providing services to our clients. You will research, recommend, implement, and help integrate different cloud solutions for grants management, customer relationship management, and related functional areas that meet our grantmaker clients' needs. In this full time role, you'll work across a portfolio of clients in a consulting capacity, in various cross-functional teams of two to four. For each client, you will be responsible for the technical design and build of the configuration and/or integration pieces on multiple projects.

YOUR PRIMARY RESPONSIBILITIES
  • Work closely with project managers to serve as the technical resource on the implementation, setup, deployment and ongoing support and enhancements of grantmaking cloud solutions for clients. This includes:
  • Configuring forms, workflows, dashboards and reports in the base cloud application product, starting with Fluxx, keeping user-friendly experience design in mind.
  • Testing builds with significant complexity through documented requirements but also through savvy understanding of client processes and data scenarios.
  • Creating user stories/testing checklists to support and facilitate client review and validation of the system build
  • Leading or supporting discovery meetings to map out business processes with clients, and translating them into system requirements.. Demonstrates ability to connect business needs and operational requirements of the clients with the features available in the cloud solution to generate cohesive technical designs for the enhancement or larger system architecture.
  • Setting up online portals for users to submit and review applications, reports and payments.
  • Automating emails and communications between the foundation and their applicants to streamline the grant approval process.
  • Building reports for foundation boards and directors to see where their funds are going, and where their impact is measuring against benchmarks.
  • Monitoring application releases of new features and changes and consulting with clients to determine which features to test, deploy, and support, to ensure systems are available and functioning for staff as intended.
  • Advising clients on opportunities to integrate AI into their grantmaking workflows—such as application triage, eligibility screening, report summarization, or data extraction—and supporting the implementation of these tools within their existing systems.
  • Triaging support tickets submitted by clients to identify which component is impacted and appropriately assess priority and severity. Investigating to identify root cause and appropriate solutions.
  • Using middleware tools like Workato and Power Automate, build out API integrations between systems so that information flows across platforms and workflows seamlessly (if you'd like to learn or apply programming skills, you are welcome to do this with code as well!)
  • Execute dataset-related tasks as needed, including data audits and analysis, data migration (field mapping transformations, cleansing, data loading), deduplication, visualizations,and advising clients on data validation activities.
  • Produce and share client-specific training and documentation, including on-site training, video tutorials, and blog posts around technology best practices and processes.
  • Monitor technology adoption and provide enhancements as needed.
ADDITIONAL RESPONSIBILITIES

  • Log your working time in Grantbook's time tracking system as billable hours are the basis for revenue as Grantbook is a consultancy.
Skills & Qualifications
  • Two-three years of working with the configuration implementation and technology adoption of cloud solutions, ideally in a grantmaking or nonprofit environment.
  • Experience translating business requirements into the technical design and configuration build.
  • Two-three years of data experience in an organization setting.
  • High proficiency in the use of cloud solutions, such as G Suite, Office 365, Salesforce, Box, Dropbox, and Asana.
  • Strong interest in developing an expertise in configuring grants management systems, such as Fluxx, GivingData, SurveyMonkey Apply, Salesforce, and SmartSimple.
  • Prior experience managing data and configuring in data visualization tools (e.g. Qlik, Tableau) would be advantageous.
  • Prior experience and familiarity working with Application Programming Interfaces (APIs) and relational databases preferred.
  • Familiarity with front-end web technologies (e.g. HTML, CSS, Liquid code) is a bonus.
  • Comfort using AI tools in your own work, along with a basic understanding of how AI agents connect to external systems and data (e.g., Model Context Protocol/MCP). Interest in helping clients identify and adopt practical AI use cases within their grantmaking workflows is a strong asset.
  • Demonstrated ability to work in a dynamic hybrid environment. You've developed strategies to manage the continual intake of requests for your attention, self-organize to prioritize your tasks to meet tight deadlines across multiple projects, and communicate proactively your progress with team members. You are a keen independent problem-solver, but also know when it's appropriate to seek help to deliver efficiently.

  • Eligibility to work in Canada, and to travel to and work in client offices across North America.
