Existing Vacancy: Yes u2013 weu2019re currently hiring candidates for an existing vacancy in this position u00A0 Job Summary: u00A0 The Immigration Specialist will manage a wide range of immigration application processes for both candidates and employees. This position will also provide strategic advice, ensure compliance, and handle the preparation and administrative processing of immigration documentation. Working closely with internal teams, the Immigration Specialist will also support process improvements and help identify and mitigate risks. u00A0 Key Responsibilities:u00A0
  • Lead immigration administration for VON Canada.
  • Provide clear, compassionate guidance to candidates and employees throughout their immigration journey.
  • Conduct consultations to gather and verify application information.
  • Prepare, submit, and track immigration applications with accuracy and timeliness; generate reports for stakeholders to ensure transparency and compliance.
  • Monitor work permits, study permits, visa statuses, renewals, and deadlines while proactively managing any associated risks.
  • Partner with VON teams to ensure immigration strategies support overall workforce planning goals.u00A0
  • Work closely with internal VON teams to improve and standardize immigration-related workflows.u00A0
  • Assess potential risks related to immigration processes and escalate complex or sensitive issues as needed.u00A0
  • Contribute to internal education efforts and help strengthen organizational knowledge of immigration policies and best practices.u00A0
  • Ensure compliance with all relevant immigration laws and regulatory requirements through the development and maintenance of policy and process documents to ensure compliance with immigrations regulations.
  • Stay current on immigration policy changes and recommend process improvements.
  • Maintain organized records, communications, and documentation.

Common Responsibilities:u00A0
  • Promotes the goals and values of VON and their role as an integrated community care provider.
  • Promotes a safe and healthy workplace, ensuring workplace conduct and activities are in accordance with the provincial Occupational Health and Safety Act and Regulations.
  • Abides by all VON policies and work practices.
  • Abides by all confidentiality and protection of personal information policies, regulations and practices and ensures appropriate safeguards are in place within their role.
  • Works in collaboration with other staff in a team approach to service delivery.
External and Internal Relationships:
  • Collaborate closely with national and regional VON leaders to ensure immigration strategies align with organizational workforce goals.
  • Liaise with Immigration, Refugees and Citizenship Canada (IRCC), provincial nominee programs, and legal partners.
  • Act as a key point of contact for external stakeholders, including Immigration, Refugees and Citizenship Canada (IRCC), provincial nominee programs, immigration legal counsel, and regulatory bodies.
  • Liaise with internal program managers and corporate services teams to support international recruitment initiatives.
  • Provide clear guidance and timely updates to employees and candidates regarding immigration processes, timelines, and required documentation.
  • Work with cross-functional teams to strengthen internal understanding and consistent application of immigration policies and procedures.
  • Represent VON in discussions and negotiations with legal representatives and external immigration service providers as required.
Education, Designations and Experience:
  • A relevant degree, diploma or certification in immigration law, human resources, or a related field is preferred.
  • Regulated Canadian Immigration Consultant (RCIC) license in good standing with the College of Immigration and Citizenship Consultants (CICC).
  • 3+ years of experience managing Canadian immigration cases; experience in the healthcare sector is an asset.
  • Extensive knowledge of federal and provincial (Ontario and Nova Scotia) immigration programs.
  • Demonstrated experience navigating a wide range of immigration pathways.

Skills Requirements:

  • Strong communication skills with cultural awareness essential to supporting individuals from diverse backgrounds.
  • Detail-oriented and deadline-driven, with strong organizational skills and experience managing shifting priorities and high volumes.
  • Sound judgment in handling sensitive issues and assessing risk.
  • High proficiencyu00A0withu00A0Windows OSu00A0and Microsoft Office software programs is required.
  • Comfortable working independently while being part of a collaborative team.
Other:
  • A current and original copy of a satisfactory Criminal Records check is required.
  • A Vulnerable Sector Search and/or Child Abuse Registry Check may be required.
  • Ability to speak French is an asset.
  • Must have a personal vehicle and possess both a current driveru2019s license and proof of vehicle insurance, and be able to travel as required.
Working conditions and physical demands: This role requires a detail-oriented approach in a dynamic environment, with physical activity including lifting, carrying (using proper techniques), bending, reaching, kneeling, and other movements that emphasize good body mechanics. Individuals in the role are required to walk, sit, stand, and climb stairs throughout the day, with some tasks requiring fine hand movements.u00A0
