Overview
We are seeking a highly organized and proactive Immigration Assistant to support our Regulated Canadian Immigration Consultant (RCIC) and team in managing a wide range of immigration cases. This role requires excellent communication skills, strong document handling, administrative abilities, and an understanding of Canadian immigration procedures.
Key Responsibilities
- Immigration Case Management: Coordinate and manage client files including Visitor Visas, LMIA, Work / Study Permits, Family Sponsorships, Visa Restorations, PNP, Startup visa and H&C applications.
- Draft submission letters and provide detailed documentation checklists tailored to various immigration programs.
- Analyze GCMS / ATIP notes to identify case-specific issues and assist RCIC with case strategies.
- Submit webforms, upload documents, and handle IRCC communications on behalf of clients.
- Calculate CRS / EOI scores and advise RCIC on program suitability and draw trends.
- Conduct research on federal and provincial programs including OINP, RNIP, Home Care Worker Pilot, FCIP, and PEQ.
- Administrative & Team Support: Supervise and delegate tasks to junior staff (team of 5) to ensure workflow efficiency and timely file progression.
- Track and maintain up-to-date client information using internal systems and spreadsheets.
- Monitor client billing, manage financial transfers between trust and general accounts, and resolve payment issues through direct communication.
- Prepare and review invoices, client contracts, monthly reports, and reliability records.
- Support RCIC with case audits, license renewals, and client account reconciliation.
- Client Communication & Relationship Management: Serve as the first point of contact for clients via WeChat, WhatsApp, email, and phone (in English and Mandarin).
- Prepare summaries for consultations and manage reception duties for walk-in and virtual inquiries.
- Prioritize tasks based on RCIC\'s instructions, case deadlines, and complexity.
- Digital Content & Compliance: Create and manage social media content (WeChat & RED / Xiaohongshu), increasing visibility and engagement.
- Post and update LMIA job advertisements in compliance with ESDC requirements.
- Assist with developing prompt-based AI support tools and automation templates.
Qualifications
- Diploma or Degree in Business Administration, Immigration Law, Legal Administration, International Relations, or related field
- 1+ years of experience in immigration case management or consulting (preferred)
- Fluency in English and Mandarin (written and spoken) required
- Excellent attention to detail, organizational skills, and ability to manage multiple files
- Experience with IRCC portals, ATIP requests, and case research
- Strong MS Office and digital literacy; experience with Chinese social media platforms an asset
- Positive attitude, client-first approach, and ability to work independently and as part of a team
