Job summary

Upper Canada Soap is seeking a Sales Coordinator to support sales operations, manage retailer timelines, and assist with new account onboarding. The role emphasizes organization, accuracy, and cross-functional collaboration in a fast-paced beauty/CPG environment.

You will help ensure successful product launches and retailer readiness while maintaining tight coordination across internal teams and external customers.

Qualifications

• 2+ years of experience in a sales coordinator, sales support, or executive assistant role within beauty, CPG, wellness, or retail sectors.
• Hands-on experience with customer/item setup portals (Retail Link, 1WorldSync, GS1, EDI, etc.).
• Proficiency in Microsoft Office and Canva is a plus.
• Strong ability to juggle multiple priorities in a deadline-driven environment.
• Clear, professional communication with internal and external stakeholders.

Responsibilities

• Support mass (FDM) key accounts across the U.S. and Canada, compliance documentation, and program execution.
• Prepare and manage customer proposals, ensuring timely follow-up on quotes and POs.
• Build and update customer-facing sales presentations aligned with brand and retailer needs.
• Provide sales tools and materials to reps, including sell sheets, pricing, and order forms.
• Assist onboarding and setup of new retail accounts in retailer portals.
• Navigate e-commerce and mass retailer item setup systems (Retail Link, SPS Commerce).
• Perform sales-related admin duties to support operations.
• Maintain and generate routine sales reports and dashboards.
• Manage sample coordination for meetings and trade shows, including returns.
• Liaise with internal teams and customers to ensure timely information flow.
• Coordinate timelines and trackers for retailer submissions and seasonal calendars.
• Assist in organizing travel logistics for the sales team and support tradeshow events.
• Contribute to special projects and provide additional support as needed.
