Smart Skin is seeking a detail-oriented and proactive individual to join our team as an HR & Office Administrator. In this role, you will support day-to-day HR administrative activities while also acting as the first point of contact for general administrative tasks in the office. This is a great opportunity to gain hands-on experience in both human resources and office operations.

Key Responsibilities:

  • Support the HR team with administrative tasks, including data entry, electronic filing, and maintaining employee records.
  • Assist in onboarding processes, including preparing documentation and tracking activities.
  • Support scheduling of interviews and meetings for HR and leadership teams. Contribute to a positive candidate experience during the recruitment process.
  • Coordinate and maintain HR systems, ensuring accuracy of employee data.
  • Respond to employee inquiries related to HR policies, benefits, and procedures, escalating as needed.
  • Maintain confidentiality of sensitive employee information at all times.
  • Serve as the first point of contact for visitors, vendors, and incoming office communications.
  • Manage general office duties such as ordering supplies, handling mail, and coordinating office maintenance requests.
  • Assist in organizing company events, meetings, and employee engagement activities.
  • Ensure common areas are tidy and well-stocked, contributing to a professional and welcoming office environment.

Qualifications:

  • Post-secondary education in Human Resources, Business Administration, or a related field (or equivalent experience).
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and/or Google WorkSpace.
  • Ability to handle confidential information with discretion.
  • A positive, professional attitude and willingness to take initiative.
