Position Description

Currently, Tetranex is seeking a Human Resources Coordinator on a full-time contract basis to cover an 18-month maternity leave position.

Responsibilities

General HR Administration

  • Provide ongoing administrative support for both employees and contractors throughout the full employee lifecycle.
  • Maintain and update employee and contractor records in the internal HRIS.
  • Track relevant reports and support quarterly and annual audits.
  • Other miscellaneous tasks as required.

Recruitment

  • Post job openings across multiple platforms and assist with candidate screening.
  • Coordinate candidate communication, schedule interviews, conduct reference checks, and support phone screening.
  • Maintain recruitment records and assist with drafting employment contracts and offer letters.

Onboarding & Offboarding

  • Facilitate onboarding for new hires and contractors, including system setup, task assignment, documentation, and orientation scheduling.
  • Coordinate offboarding tasks such as systems access removal and completion of exit procedures.

Benefits Administration

  • Support benefit processes, including enrollments, terminations, employee inquiries, and data audits.
  • Liaise with benefit providers and employees to address and resolve benefits-related questions and concerns.

HRIS Administration

  • Maintain employee and contractor profiles in the HRIS.
  • Upload relevant documents and assign onboarding, offboarding, and recruitment tasks.
  • Conduct regular audits to ensure data accuracy and compliance.

Performance & Training Support

  • Assist with scheduling performance reviews, compiling review documentation, and uploading materials to HRIS.
  • Coordinate and track employee training, including maintaining training records and spreadsheets.
  • Support grant applications where applicable.
  • Assist with contractor agreement renewals and related documentation management.

Internal Communications & HR Initiatives

  • Support the administration of quarterly staff updates and internal communications.
  • Assist with the implementation and ongoing improvement of HR policies and programs.
  • Coordinate and participate in career fairs and similar external HR initiatives.

Requirements

  • Strong interpersonal skills and a collaborative, team-oriented attitude.
  • Self-motivated, with the ability to take initiative and work independently.
  • High level of professionalism and the ability to handle confidential information with discretion.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, with excellent organizational and time management skills.
  • Flexibility and adaptability when dealing with shifting priorities and responsibilities.
  • Proficiency in Microsoft Office Suite; experience with G Suite is an asset.
  • Prior experience working in an engineering or technical environment is an asset.
  • Post-secondary education or training in Human Resources is considered a strong asset.
