Reporting to the Manager, HRBP, the HR Coordinator will provide administrative and analytical support to the Manager, Human Resources Business Partnerships. The position will be focused on enhancing and centralizing processes, coordinating and administering activities and/or action plans to create efficiencies that will support the HRBP Team.
How you’ll make an impact:
Employee Relations:
- Complete and coordinate the administration and documentation for all salaried/professional employee transfers, promotions and terminations as requested by the Manager, HRBP.
- Prepare new hire packages and administer the on-boarding process for all employees within their division.
- Provide support on Employee Relations policies and programs.
- Provide administrative support to Manager, HRBP on acquisitions projects including the preparation and collection of Employee Information Packages and transition paperwork.
- Draft standard confirmation letters of employment for employees.
- Provide administrative support to the Manager, HRBP on store closures including but limited to support with the preparation and administration of employee letters and layoff packages.
- Manage the askus@rexall.ca email inbox, checking it daily and providing answers to employee inquiries or concerns and escalating the issue to the appropriate Manager, HRBP.
- Maintain Employee Relations (ER) shared drive by providing updates to templates, ER policies and procedures. Develop repository of appropriate ER materials (legal opinions, disciplinary letters, termination letters, memos, etc.) for ER Team reference.
- Be well versed in provincial employment legislation and provide updates to employees and policies accordingly.
- Coordinate corporate employee relations initiatives and special projects as required.
- Assist Manager, HRBP as necessary with conflict management and dispute resolution.
- Subject matter expert on HR policies and HR programs available to all employees.
- Performs other duties as assigned to support Rexall Pharmacy Group Ltd.
Health and Safety:
- Lead and participate in monthly Health & Safety Committee meetings across the Division.
- Maintain the First Aid/CPR Tracker and schedule training for employees across all stores as necessary to maintain compliance (at the request of Manager HRBP, Store Management, or Operations Management Team).
- Ensure Joint Health and Safety Committee (JHSC) meeting minute compliance via the Online JHSC Meeting Minutes Automation Tool.
- Ensure H&S compliance at store locations with respect to posting requirements, random audits, hazard identification, adequate supply of First Aid supplies, etc.
- Performs other duties as assigned to support Rexall Pharmacy Group Ltd.
Labour Relations:
- Support Manager, HRBP by managing the Full-Time Posting process for unionized locations.
- Maintain the systematic tracking/monitoring process for union grievances and develop regular report on trends.
- Maintain repository of Collective Agreements on HR shared Drive.
- Performs other duties as assigned to support Rexall Pharmacy Group Ltd.
Qualifications to Succeed:
- 1 to 2 years of related Human Resources experience.
- 2 to 3 College Diploma with a focus in Human Resources Management or related field.
- Demonstrates knowledge of legislative compliance with respect to labour and employment legislation.
- Excellent Microsoft Office computer skills.
- ADP HRIS and ADP payroll knowledge an asset.
- Strong oral and written communications skills.
- Presents a professional image of confidence and decisiveness when dealing with people; Acts in a compassionate and supportive manner.
- Excellent prioritization and organizational skills.
- Strong attention to detail.
