Supporting the Human Resources and Labour Relations team, the Human Resources Assistant (HRA) provides clerical support of recruitment & staffing, employee & benefit documentation, labour relations and strategic initiatives and performs reception functions of the busy department operations at both hospital locations. Providing excellence in customer service, the HRA applies an understanding of human resource fundamentals combined, with strong organizational skills, to efficiently and effectively manage a high volume of work flow processes and documentation being delegated by department team members.
Skills And Qualifications Required
- Three year post-secondary diploma in Human Resources
- An equivalent combination of education and experience, may be considered
- One year related work experience supporting human resource functions and performing similar administrative duties
- Experience with Human Resources Information Systems, preferred
- Related work experience in a large complex and unionized organization, preferred
Position Responsibilities
- Manage job competition electronic documentation including assigning competition numbers, entering vacancy information on the competition tracking database and creating electronic competition files for new vacancies; populating database with successful incumbent and start date information, and; closing the electronic competition files
- Create job postings for Recruitment & Staffing Specialist, obtain manager approval and distribute and post positions where designated
- Manage hard and soft copy applications, filing as internal or external applicants to the appropriate competition file
- Liaise directly with applicants and panel members to coordinate recruitment and selection activities including scheduling of interviews and testing, preparing candidate packages and booking meeting/testing rooms
- Create electronic grievance files including setting up standard folders, scanning relevant grievance documentation and filing in electronic file
- Maintain electronic grievance/arbitration tracking on centralized spreadsheet
- Generate or support seniority list preparation, distribution and posting
- Processing of union leave request including notification to manager and Staff Scheduling as appropriate
- Facilitate the collection and distribution of Labour Relations documents and information as required
