Position Summary

Human Resources Assistant, Human Resources:
The HR Assistant will provide administrative support to facilitate the successful implementation of the Human Capital Management System (HCM) Oracle within the organization. This role will work closely with the HRIS Project team, specifically with the change management team to ensure smooth integration, data accuracy, and user adoption of the system. The HR Assistant will also be responsible for updating training materials, scheduling training sessions, and supporting communication between stakeholders to ensure timely and effective implementation of the HCM Oracle system. You are highly organized, able to succeed in a fast-paced and high-volume client-facing environment, and are eager to engage with new challenges every single day. You also have excellent interpersonal and customer service skills, are able to work independently and are able to effectively prioritize and multi-task. You will also take on the shared responsibility for ensuring that health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, volunteers and families.

On a practical level, you will
  1. Support the creation of change management deliverables, including communications plans, stakeholder engagement plans, etc.
  2. Provide administrative support for change management and training activities.
  3. Coordinate meetings, prepare agendas, and document meeting minutes.
  4. Evaluate training effectiveness and gather feedback to improve future training initiatives.
  5. Draft and edit internal communications, such as newsletters, emails, and intranet content.
  6. Coordinate training sessions and prepare materials for system users.
  7. Maintain office equipment and general supplies, and organize and complete invoices and expense forms.
  8. Interface between staff and HR associates; review/access in the HCM Oracle system to complete employee requests.
  9. Provide clerical support to the HR department by receiving inquiries via telephone, email, and walk-ins, assisting with requests or questions, and communicating details with appropriate HR staff as part of issues management workflow.
  10. Support project stakeholders with ad-hoc tasks as required.
  11. Support requirements for adjacent departments as required.
  12. Provide coverage on HR Operations team when needed.
Qualifications
  1. Completion of related Post-Secondary Diploma/Certificate or a combination of relevant experience and education.
  2. Strong verbal and written communication skills.
  3. Experience working as a receptionist and/or in clerical functions in a setting serving the public and staff.
  4. Experience responding to basic general staff-related inquiries regarding benefit entitlements and have a basic understanding of where to retrieve information to assist with inquiries.
  5. Experience working with Information Systems (e.g., HRIS, etc.).
  6. Ability to adapt seamlessly to a fast-paced work setting to meet immediate targets and timelines.
  7. Working-level knowledge of MS Office applications including Word, Excel, PowerPoint, and Outlook.

This is a Full-Time Temporary position (6 Months), 8-hour shifts, 75 hours bi-weekly, Monday to Friday in the Human Resources department.
