Rate of Pay: $16.00 per hour - Part Time Position

About this opportunity:

Performs a variety of Human Resources and clerical support work including onboarding, paperwork, typing, filing, photocopying, etc., under close supervision; answers phones, provides information about department operations/services; processes mail. Assists with daily HR office operations. Performs clerical accounting functions such as record keeping, reporting, processing donations, invoices, billings, purchase orders, reimbursements, checks, payments, and deposits.

Key responsibilities:

  • Prepares employment documentation for new hires, background checks, classification changes, separations, FMLA, workers' compensation.
  • Submits paperwork for review and approval in a timely manner.
  • Maintains confidentiality of HR records and correspondence; ensures files are secure, organized, and retained per guidelines.
  • Completes paperwork for seasonal employees accurately and on time.
  • Maintains files of accounts, statistics, invoices, donor/client info; develops departmental spreadsheets.
  • Generates reports, monitors data accuracy, and compiles departmental information.
  • Prepares account correspondence, responds to inquiries professionally.
  • Performs data entry for financial records and reporting.
  • Handles clerical accounting functions, processes donations, invoices, purchase orders, reimbursements, payments, deposits.
  • Tracks payments, maintains ledger accuracy, manages account files.
  • Receives and deposits cash, prepares daily cash reports, distributes receipts.
  • Performs typing, proofreading, and document preparation.
  • Updates office records, inputs data, researches files.
  • Performs filing, retrieves documents, maintains organized filing system.
  • Scans and files approved actions, sends notifications.
  • Answers phones courteously, assists employees and external contacts, resolves complaints tactfully.
  • Sorts and distributes mail, prepares outgoing mail.
  • Copies, shreds documents as needed.
  • Orders office supplies and equipment.
  • Assists with receptionist duties and special projects.
  • Performs other duties as assigned.

What we are looking for in you:

  • High school diploma or G.E.D. required.
  • Two years of administrative or secretarial experience preferred, especially in Accounting or HR.
  • Equivalent education and experience may be considered.

Physical Requirements and Working Conditions:

Attendance, effective communication, typing, operating office equipment; work performed mainly seated in a typical office environment; minimal physical effort required.
