Job Purpose

The HR Representative provides administrative support by monitoring attendance, enforcing company policies and safety protocols, and offering excellent customer service. They act as a liaison between employees and HR, ensuring smooth communication and supporting employee needs in the workplace.

Duties And Responsibilities

The associate’s primary functions and responsibilities are as follows:

  • Greet and warmly welcome new employees upon their arrival, ensuring they feel comfortable and supported in their new environment.
  • Assign lockers to new employees and maintain an organized tracking system to monitor locker assignments and ensure proper usage.
  • Ensure timely and accurate enrollment of employees in the HRIS, verifying that all relevant information is properly recorded and up to date.
  • Monitor and record employee attendance daily during each shift to ensure accurate tracking of workforce participation and address any attendance-related concerns promptly.
  • Administer time and attendance within the HRIS, ensuring accurate tracking of employee hours, and approve timecards in a timely manner.
  • Update the Crew List daily to ensure accurate representation of employees in the facility, reflecting their assigned roles, shifts, and any changes to staffing or coverage.
  • Arrange employee coverages when needed, utilizing staffing agency support as necessary.
  • Process and effectively communicate all documentation related to employee attendance and performance, ensuring clarity and timely delivery of information.
  • Prepare weekly and monthly shift reports.
  • Assist the Supervisor in conducting monthly performance evaluations for employees to assess their progress and overall performance.
  • Facilitate meetings with employees, in collaboration with the supervisor, to address unsatisfactory performance results and discuss improvement plans.
  • Ensure effective usage of various HR forms.
  • Enforce safety protocols and company policies consistently throughout the shift to ensure a secure and compliant work environment.
  • Report workplace incidents promptly and ensure proper documentation is completed in accordance with company procedures.
  • Adhere to and properly manage the WSIB policy during your shift, ensuring compliance with all relevant guidelines and procedures.
  • Regularly update trackers for employees on leave of absence (LOA), maternity/paternity leave, and temporary associates, ensuring accurate and up-to-date records.
  • Manage effective inter-departmental and intra-departmental communication.
  • Administer disciplinary procedures for employees not adhering to workplace compliance, following established protocols and maintaining a fair and consistent approach.
  • Collaborate with the Compensation and Benefits team to assist employees in processing requests for documents such as reference letters, employment verification, and shift transfers.
  • Assist with the day-to-day operations of HR functions and duties during your designated shift.
  • Serve as Fire Safety Team Member.
  • Perform other assigned duties.
  • Follow Health and Safety rules and regulations.
  • Must follow Good Manufacturing Practices, Food Safety, and Food Defense guidelines.
  • Comply with all Company policies and procedures.

Qualifications

  • High school diploma or equivalent (post-secondary education in Human Resources or related field is an asset).
  • Previous customer service experience required.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience with HRIS (Human Resources Information System) is considered an asset.
  • Strong communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Excellent organizational and time-management skills.
  • Ability to work in a fast-paced environment.
