Your role and responsibilities:In this position, you provide general administrative support in the Human Resources Department for the Canadian fiduciary component and the Electrification group. You act as contact person for requests, providing solutions to those within your competences and forwarding others to the appropriate interlocutors. You play a critical role in the flow of administrative processes and procedures within the business, prioritizing requests and providing confidential assistance to the management team.
- Assist the human resources fiduciary manager in the day-to-day management. Be the direct link between the various departments and the fiduciary manager, e-handle management, agenda, expense account, travel organization and file approval, handle requests received by e-mail that fall within your competences, as well as assist with the organization of important events for the activity, including travel logistics, reservations, and catering.
- Support the client groups of the human resources fiduciary manager, as well as be involved in updating and drafting policies related to the Human Resources Department and offer support in maintaining the HR portal and updating information.
- Manage, plan, and support the team in setting up certain activities of the department throughout the year. Be the contact person with several stakeholders.
- Compile specific reports, presentations, organizational charts. Handle the internal correspondence on behalf of the activity manager.
- Support the writing of professional communications, ensure that knowledge is shared and that employees are informed of any changes made.
- Handle all requests from abroad within your competences.
- Manage certain HR contracts in the management of invoices, purchase orders, and payments.
- Participate in the development of internal programs for all Canadian employees.
- Offer support for all related activities.
Qualifications for the role:- College diploma in administrative management (or related field) as well as 2-3 years of experience in an administrative or assistance position.
- Knowledge of the field of human resources (an asset).
- Ability to prioritize and perform several tasks, with a very good sense of organization and priorities as well as being autonomous and demonstrating a good capacity for initiative.
- Friendly and approachable behaviour, with a dynamic and enthusiastic approach to work.
- Strong written and spoken communication skills, and fluency in French and English, both spoken and written. French is required. English is also required to communicate with customers outside Quebec on a regular basis.
- Proficiency in Microsoft Office, including PowerPoint, Excel, and Word.
