Job Summary:

We are seeking a highly organized and personable HR Administrator / Receptionist to support our Human Resources department and ensure smooth front-desk operations. This dual-role position requires strong administrative skills, attention to detail, and the ability to interact professionally with employees, clients, and visitors.

Key HR Responsibilities:

  • Support process documentation according to the company policy
  • Help updating the HR SharePoint
  • Assist in recruitment activities including posting job ads, scheduling interviews, and coordinating onboarding processes.
  • Help coordinate training sessions and employee events.
  • Prepare HR-related documents and letters, as required.
  • Ensure compliance with company policies and employment laws.
  • Handle confidential and sensitive employee information with discretion.

Receptionist Duties:

  • Greet and direct visitors, clients, and vendors in a professional manner.
  • Answer and route incoming phone calls, take messages, and manage the general email inbox.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain the reception area and meeting rooms to ensure a clean and welcoming environment.
  • Order and manage office supplies and support other administrative tasks as needed.

Qualifications:

  • High school diploma or equivalent required; additional certification or diploma in HR or office administration is a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong communication and interpersonal skills.
  • High level of professionalism and customer service orientation.
  • Ability to handle multiple tasks and work independently in a fast-paced environment.
  • Discreet and trustworthy with confidential information.

Working Conditions:

  • Hybrid based role - 3 days per week at the office.
  • Front-facing position.

Security Clearance Requirements/ CGP / ITAR:

Position requires Level II Clearance with the Canadian Government and the ability to gain access to the Canadian Controlled Goods Program
