Job summary

OPTrust is hiring an HR Administrator to support the Head of the People and Communications team in a fast-paced environment. The role focuses on daily administration, calendar management, meeting coordination, and confidential handling of HR information.

The position requires 4 years of admin experience (2 with a senior executive), strong organization, communication skills, and proficiency in MS Office, Concur, and Workday.

Qualifications

  • 4 years of administrative experience, including at least 2 years supporting a senior executive in a fast-paced organization.
  • College or university degree preferred.
  • Experience in the financial services industry is an asset.
  • Effective organizational skills and ability to efficiently multitask and prioritize work.
  • Demonstrated proficiency with Microsoft Office (Word, Excel, PowerPoint), CoPilot and Adobe applications.
  • Experience using Concur and Workday.

Responsibilities

  • Provide senior-level administrative support to the Head of the People and Communications team.
  • Coordinate meetings, including with senior leadership and external partners, and prepare materials and agendas.
  • Draft, edit, and distribute HR correspondence and materials.
  • Manage calendars and provide support services for the People and Communications team.
  • Reconcile expenses and processing invoices for leadership using Concur.
  • Organize team-building and corporate events; liaise with vendors and logistics.
