Job description

Our client, a mid-sized law firm specializing in class action for more than 20 years, is based in Vancouver and they are seeking a facilities and marketing assistant. This position will assist their internal clients in the daily operations of the firm. The ideal candidate will have superior aptitude for using software to manage workflow and excellent communication skills.

Responsibilities:

  1. Provide assistance to firm administration and backup basic IT support
  2. Liaise with outside IT company when needed and building management regarding maintenance, security cards and parking
  3. Maintain and update safety information and procedures
  4. Set up and coordinate meetings, training sessions, webinars and conferences
  5. Order catering and assist with staff social events
  6. Assist with setup for new staff and reception coverage upon request
  7. Collaborate with case management software administration team to maintain the client relationship management functions and generate and analyze reports
  8. Coordinate social media reviews
  9. Oversee firm and individual lawyer mailing lists
  10. Coordinate marketing and business development functions, events, and opportunities for the firm and individual lawyers including receptions, conferences, celebrations, holiday cards, gifts, thank you gifts, and referral gifts
  11. Collaborate with vendors to design, budget, and produce promotional materials for client referral gifts
  12. Draft, edit and finalize Internal Firm Newsletter and coordinate holiday e-cards
  13. Send out Mailchimp communications, oversee marketing inventory, and manage e-blasts
  14. Work with third party website designers to maintain and improve website content
  15. Ensure adherence to the firm’s policy and procedures manual
  16. Act as Fire Warden
  17. Other tasks as assigned by the Director of HR & Operations or other senior Management

Qualifications:

  1. Experience with marketing and/or administrative assistant work
  2. Strong team player with excellent interpersonal skills and a strong customer service focus
  3. Superior verbal and written communication skills
  4. Software knowledge of MS Office and Case Management Software
  5. Superior organizational/document management skills with a strong attention to detail
  6. Ability to manage work responsibilities in an unstructured environment
  7. Independent with the ability to confidently make judgment calls and recommendations
  8. Sound business judgment including the ability to handle sensitive confidential information
