Halifax Regional Municipality is inviting applications for the temporary, part-time (up to 3 years) position of Halifax Immigration Partnership Administrative Coordinatorin The Office of Diversity and Inclusion in the Chief Administrative Office.

Reporting to the Local Immigration Partnership Manager, the Halifax Immigration Partnership Admin Coordinator (HIPAC) is responsible for supporting the HIP Project with the implementation of the HIP Advisory Committee’s strategic plan and the HIP Working Groups action plans. As part of the HIP Advisory Committee strategic plan, the HIPAC will support the Project Manager in the implementation of the HIP outreach plan to recruit and develop the HIP Working Groups that will operate over the next 3 years.
Also, the HIPAC will support effective communication with HIP partners and network by keeping meeting minutes, co-developing meeting agendas with the Project Manager and working group co-chairs and liaising on matters related to promotion and knowledge dissemination. The HIPAC will support the upkeep of the HIP web platform ensuring that all information in the platform is accurate and up to date. Other duties as listed in the duties and responsibilities.
DUTIES AND RESPONSIBILITIES:
- Ensuring that all HIP administrative matters are kept organized and up to date;
- Provide organizational, administrative and logistical support to the implementation of strategic and action plans.
- Support with and do research for the preparation of reports, briefing notes, presentations, spreadsheets, and other HIP documents;
- Work collaboratively with the HIP PM in ensuring timely and efficient knowledge dissemination, including the promotion of HIP initiatives, as well as initiatives, projects and programs led and/or delivered by the HIP network;
- Support with the administration of fiscal resources (track and maintain HIP spending and budgeting)
- Facilitate the improved coordination between the HIP’s administrative and operational activities;
- Support the HIP PM with the organization and coordination of events, gatherings, conversation circles, and consultations as advised by the HIP Advisory Committee;
- Support the HIP PM in the development of tools (i.e., surveys, service mapping, etc.), including data entry and data collection

QUALIFICATIONS:Education and Experience:- High school diploma or equivalent required; consideration will be given to students in their 3rd year of college or Bachelor’s degree in Community Development, Social Work, Humanities or Education are considered an asset
- A minimum of two (2) years’ experience working in the administrative support field is required; experience in the settlement, government and/or non-for-profit sector are an asset.
Technical / Job Specific Knowledge and Abilities:- The Coordinator is a highly motivated person with excellent organizational skills who feels comfortable managing multiple timelines and meeting tight deadlines.
- This position requires well-developed oral and written English skills. Interpersonal, written, and verbal communication skills: effective and timely exchange of information that is respectful of the diversity of people, and the geography and working environments, of our partners and stakeholders.

An equivalent combination of education and experience may be considered. Applicants relying on education and experience equivalencies must clearly demonstrate such equivalencies in their application.
