About the Role As the Guest Services Associate, you will serve as the welcoming face of Carey and the logistical backbone of day-to-day operations. The front desk functions as a centralized hub, coordinating activities across Carey’s three distinct areas—the theological college, the student residence, and the hotel/guest accommodations. You will support hotel check-ins and check-outs, student housing logistics, event coordination, and handle a range of inquiries from guests, students, and staff. This is a part-time, on-site role involving a combination of hospitality, administrative, and systems support. Key Responsibilities Guest & Student Services

  • Welcome and assist hotel guests, residents, and visitors during check-in/check-out
  • Issue keys (GoKey), parking permits, and meal tickets (Square) as needed
  • Respond to inquiries via phone, email (Freshdesk), or in person
  • Support student move-in/move-out coordination in collaboration with residence staff
  • Track and distribute mail and packages for students and residents
  • Administrative & Hub Coordination
  • Support reservation and occupancy tracking through MEWS (property management system)
  • Process and reconcile payments through Square, Populi, and other digital tools
  • Maintain up-to-date records of check-ins, check-outs, and payment status
  • Update signage and bulletin boards; monitor communal spaces for readiness
  • Coordinate with housekeeping and facilities to address deficiencies and requests
  • Log and follow up on reports related to illegal parking or maintenance concerns

Systems & Process Support

  • Operate and maintain key digital systems:
  • MEWS – for guest and residence bookings
  • GoKey – for digital key access
  • Square – for meal ticket and front desk payments
  • Populi – for student-related financial transactions
  • Freshdesk – for managing help tickets and communication
  • Assist with issuing meal tickets and coordinating meal plan usage
  • Monitor incoming help requests and triage as appropriate to internal teams

Education & Experience

  • High school diploma or equivalent required; post-secondary education an asset
  • Prior experience in hospitality, customer service, or administrative support preferred
  • Comfortable working with digital platforms and online tools (e.g., MEWS, Square, Populi)
  • Strong communication skills and the ability to work independently and collaboratively

Hours Part-time, approximately 15–20 hours per week. Scheduled shifts may include morning, evening, or weekend coverage based on operational needs. Flexibility is an asset.
