Job Description:
Reporting to the Senior Manager, GB Sponsorships and Events, the GB Coordinator is responsible for activating and executing Group Benefits (GB) sponsorship activities and events, including planning, coordination, and follow-up with conference vendors and agencies. The GB Coordinator will also oversee the Group Benefits Sponsorship & Events calendar.
The successful candidate will be proactive, possess excellent organizational skills, and be able to work on multiple projects with various people across the organization, clients, and vendors.
What will you do
- Act as the point of contact with external vendors and internal communication staff, handling inquiries related to sponsorships and media.
- Schedule meetings with conference vendors to review the critical path and obtain event details.
- Record all sponsorship deliverables and update the project file as statuses change.
- Ensure all deliverables in the critical paths are on track.
- Coordinate with communication and enablement staff to ensure timely completion of deliverables.
- Participate in sponsorship meetings with marketing staff, review deliverables, and track action items.
- Manage coordination of complimentary passes and registration for staff and clients.
- Coordinate printing of conference and event materials, facilitate delivery, and act as onsite contact if needed.
- Manage creation and distribution of post-event surveys, collect and analyze metrics, and prepare reports.
- Update logo trademark agreements for sponsored events and work with legal for approval.
- Support tasks related to events like Client Partnership Council and Advisor Business Council.
- Monitor and enforce Conference & Event Contingency procedures.
- Organize and store media kits for marketing use.
- Ensure timelines are met for media/advertising activities related to Group Benefits.
- Act as liaison with media vendors for inquiries about ad specifications.
- Coordinate with presenters to prepare for speaking engagements.
- Manage projects, run meetings, track deliverables, and post-event metrics.
- Liaise with internal teams such as Events Services, Design, Linguistics, and Communications.
- Support ad-hoc projects including contest winner communications.

- Excellent project management, organizational, and prioritization skills.
- Strong interpersonal and communication skills (verbal and written).
- Ability to collaborate with internal teams and external vendors.
- Ability to work independently, manage timelines, and respond quickly to changing demands.
- Advanced PC skills, including MS Office (Word, Excel, PowerPoint), with ability to learn new software.

Additional Information
This position is hybrid, offering flexibility to work from both office and remote locations based on business needs. The salary range is $49,000 to $80,200, with potential incentive plans.
