Reporting To : Director, Conservation Operations
Purpose : To provide direct, operational, relationship and administrative support to grant recipients under the BC Conservation Fund. This role supports grantees to be in compliance with grant agreements, helping to foster a strong and responsive granting relationship and culture.

Role Summary :
As projects are approved for funding, the Grant Administrator will serve as a primary point of contact for grant recipients in their portfolio, ensuring clear communication, smooth onboarding, ongoing support, compliance and timely reporting. The Administrator will ensure the rollout and administration of the grant agreement is conducted per established protocols and processes, that key timelines and deliverables are met, and will collect information and track measurable impacts to ensure they are meeting the Foundation’s expectations. Where grant recipients encounter progress roadblocks, the Administrator will provide assistance, resources and troubleshooting to keep projects on time and on budget.
Key Responsibilities :
Relationship Management, Support and Liaising
- Coordinate onboarding of new grant recipients
- Serve as a primary contact for grantees, providing timely and respectful guidance throughout the project execution
- Schedule and conduct regular check-ins or progress reviews with assigned grantees, collaborating with internal team members, in particular Indigenous Initiatives members, as required
- Foster respectful and collaborative relationships with Indigenous and community partners
- Help identify grantee support needs, respond to questions and issues, and contribute to the design of solutions, learning opportunities, tools and resources
- Assist with gathering stories, photos, and other materials to highlight community impact
- Serve as the liaison between grantees, internal teams, vendors and other stakeholders
- Oversee the administration of approved grants including deliverables, payment tracking and document management
- Schedule meetings, prepare agendas or notes and contribute to briefing materials as needed
- Support recipients in understanding and meeting reporting and compliance requirements
- Ensure deliverables are submitted on time and are of satisfactory quality
- Monitor projects against plans and budgets, identifying potential risks or challenges and flagging issues, risks or concerns to the Conservation team
- Work closely with internal teams, including Finance, Marketing and Communications and the Conservation and Stewardship teams to ensure smooth grant delivery
- Maintain accurate, up to date information in existing tracking and management systems such as Fluxx, Salesforce and Monday.com
- Support ongoing efficiency, productivity and collaboration by researching, developing and implementing systems for effective data management and documentation.
Conservation Team Support
- Carry out administrative duties for the Conservation team, including email communications, preparing documents and maintaining records.
- Provide support to the Manager, Conservation Projects in the pre-grant approval work as needed.
- Contribute to a constructive, results oriented, and inspiring organizational culture.
- Other duties as required.
Requirements :
- Post-secondary degree, diploma or certificate in project administration or other relevant field
- 2+ years experience in grant administration or a similar position
- Experience with using software such as Fluxx, Salesforce, Monday.com to effectively administer grants
- Proven ability to work with community members and provide administrative support to projects, communicate effectively with partners, monitor progress, manage budgets and expenses, provide accurate and timely reporting on results.
- Proven ability to work in a relational way with Indigenous Nations and communities and understand the importance of community-led development.
- Strong and proactive problem-solving skills, able to identify challenges or bottlenecks and proactively propose potential solutions to improve how the program functions.
Skills and experience considered an asset :
- Fluency in a second language
- Ability to speak an Indigenous language is an asset.
- Training or certification in grant or project management
