Job Description
Reporting to the Operations Manager the
Operations Assistant supports the grain operations. The person is involved both in administrative tasks and in operational activities on the terminal, ensuring that operations run smoothly. The position is based at our marine terminal in Oshawa but requires working in our different terminals in Ontario when needed.
Responsibilities:
Operations & Scheduling
- Coordinate truck and vessel scheduling, berth activities and load orders.
- Manage inventoryensuring accuracy in grain type, silo capacity, and quality.
- Oversee truck and vessel sample handling, shipment coordination, and regulatory inspections.
- Prepare operational reports and support vessel activity preparation.
Regulatory & Compliance
- Support health, safety, and environmental compliance.
- Ensure Canadian Grain Commission (CGC) reporting compliance and audit management.
- Conduct traceability checks, tracking grain from its source to its final destination.
- Oversee pest control efforts, ensuring stored grain is protected from contamination.
- Liaise with surveyors, Transport Canada, and CFIA for inspections and compliance.
System & Equipment Management
- Maintain customer and transport company records in SygmaSys. With time,become a superuser.
- Operate and train personnel on the Human-Machine Interface (HMI) control system for loading and unloadingoperations.
- Ensure accurate equipment usage logs, worklogs, and labor slips.
- Coordinate maintenance activities and oversee cleaning schedules for equipment and facilities.
What You Need to Succeed:
- 1–3 years of relevant experience.
- Diploma in logistics, business, or a related field (preferred but not required).
- Needs to be comfortable around computer systems and software, as becoming a superuser will be necessary to succeed inthe job.
- Ability to work in varying temperatures, stand for long periods, and perform tasks outdoors.
- Valid driver’s license. Availability to travel to different sites.
- Willingness to work various shifts, includingevenings, nights, weekends and holidays.
