Position Overview

The Graduate Science Centre within the Faculty of Science is seeking a Full-time Limited Term Graduate Program Administrator, Professional Programs for approximately 12 months. This role manages the operational aspects of the Professional Graduate Program, ensuring compliance with university policies and supporting students through various stages of their program. The position reports to the Manager, Graduate Student Services.

Key Responsibilities
Program Advising
  • Advise students on program requirements, policies, and procedures in one-on-one and group settings.
  • Assist students with decision-making, goal setting, and fulfilling program requirements.
  • Monitor student progress to ensure timely graduation.
  • Provide guidance on academic progression and requirements.
  • Utilize program details from the university calendar to recommend suitable study plans.
  • Coordinate with campus support departments like the Faculty of Graduate Studies and Enrollment Services.
  • Address and resolve program conflicts and petitions for exceptions.
  • Identify and advise students with GPA or progress issues, recommending appropriate actions.
Program Coordination
  • Compile and review program information for calendar submissions.
  • Approve graduate student convocation lists.
  • Communicate with program directors and share ideas regarding program and student matters.
  • Assist with website updates and develop administrative processes.
  • Represent the department at internal and external functions.
  • Review and implement changes to the graduate programs as needed.
  • Advise on program development and improvements.
Qualifications
  • Undergraduate degree or equivalent required.
  • At least 3 years of experience in student affairs or program advising.
  • Experience working in a large, dynamic team.
  • Experience with professional students is preferred.
  • Excellent interpersonal and communication skills.
  • Strong organizational skills with attention to detail.
  • Ability to think critically and creatively under pressure.
  • Proficiency in MS Office Suite; experience with Banner or PeopleSoft is an asset.
  • Knowledge of academic policies, calendar, and regulations.
  • Resourcefulness, flexibility, and ability to work independently under tight deadlines.
