Job Description

What you’ll be doing:

Are you customer-service oriented and understand that a positive donor experience (at every touchpoint!) is critical to stewardship of our donors? Do you embrace that best-in-class gift processing is part of the donor experience?

SHN Foundation is seeking an enthusiastic professional to join our team in the role of Gift Processing Officer. Reporting to the Manager, Donor Support Services, you will support the timely and accurate processing of donations, including receipting and issuance of acknowledgement letters.

Your Responsibilities

  • Staff the front desk including greeting visitors, assisting with walk-in donations and handling incoming phone inquiries at Centenary office.
  • Timely and accurately process gifts (offline, online, memorial, tribute, etc.) to ensure quality, integrity and accuracy of donor data
  • Generate thank you letters and charitable tax receipts per Foundation guidelines/timelines
  • Process deposits using the deposit scanner for cheques or via bank branch for cash
  • Assist with record maintenance, as required, under the direction of the Manager, Donor Support Services
  • Maintain appropriate record-keeping with a commitment to donor confidentiality
  • Reconcile donations processed through batches with other sources and with Finance personnel, as necessary
  • Attend events for cash management purposes and assume other duties in support of the event
  • Keep abreast of Canada Revenue Agency regulations concerning charities and provide advice/insights to Foundation colleagues
  • Perform other donor support services related tasks and project work, including With Gratitude fulfillment, etc.

What You Bring To The Position

  • Minimum of 5 years of gift entry experience in a charity, preferably in a healthcare setting or complex organization
  • Undergraduate degree and/or college diploma, or equivalent experience
  • Strong commitment to delivering outstanding donor/customer service
  • Demonstrated ability to multi-task and meet deadlines
  • Ability to work effectively with a team and a diverse group of stakeholders
  • Knowledge of Raiser’s Edge (NXT and database view preferred)
  • Working experience with online donation platforms, preferably Fundraise Up, AKA Raisin, and data import tools (Import-omatic, etc.)
  • Excellent verbal and written communication skills
  • Familiarity with fundraising and accounting practices and procedures
  • Organized and highly detail oriented, with the ability to manage timelines, goals and expectations
  • Proficient with MS Office Suite, including complex mail merge operations.

Your Competencies Include

  • Proven knowledge of Canada Revenue Agency’s requirements, especially with regards to receipting
  • Accurate and efficient data entry skills
  • A customer service mentality, aware that every interaction with donors must be positive and that donors expect timeliness of receipting or responses to inquiries
  • An embrace of best practices in the gift processing field
