Job summary

YMCA of Greater Toronto is seeking a Fundraising Operations Specialist to support donor data integrity, gift processing, and fundraising systems. You will collaborate with Finance and fundraising staff to maintain operational processes and donor engagement across programs.

Qualifications

  • Post-secondary education in a related field or equivalent experience.
  • Two or more years of experience working in a not-for-profit organization, preferably in fundraising.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Raiser’s Edge database and/or Raiser’s Edge NXT gift processing software experience is preferred.
  • Knowledge of fundraising processes, procedures, and best practices is an asset.
  • Experience using email marketing platforms such as Delivra is an asset.

Responsibilities

  • Ensure the integrity and timeliness of gift entry into Raiser’s Edge and other platforms (Race Roster, Raisin).
  • Manage gift administration: tax receipts, thank you letters, acknowledgements with Finance.
  • Serve as primary contact for the fundraising inbox and phone line.
  • Create and maintain donor records in Raiser’s Edge across levels of donors and communication preferences.
  • Support donor stewardship reporting and improve data quality through ongoing review.

Location: 90 Eglinton Avenue - Hybrid: 4 days working remotely, 1 day working in-office

Work Hours: 37.5 hours per week (Monday to Friday)

The Fundraising Operations Specialist supports the effective delivery of fundraising operations by helping ensure the accuracy, consistency, and reliability of donor information, gift processing, and fundraising systems. The role contributes to a positive donor experience and the efficient administration of fundraising activities by supporting data management, donor stewardship processes, and fundraising communications. Working closely with Finance and fundraising staff, the position helps maintain operational processes and systems that support fundraising initiatives and donor engagement across the organization.

In this role, you will:
  • Ensure the integrity, accuracy, and timeliness of gift entry into Raiser’s Edge for cash, cheques, electronic fund transfers, wire transfers, securities, credit card, and debit card donations, in partnership with Finance, and enter gifts into other platforms such as Race Roster and Raisin when applicable
  • Manage gift administration activities, including the timely distribution of tax receipts, thank you letters, and acknowledgements, in collaboration with Finance
  • Serve as the primary point of contact for the public through management of the Fundraising inbox and phone line
  • Create and maintain donor records in Raiser’s Edge in accordance with organizational standards to ensure accuracy and consistency for Capital, Major Gift, Leadership Giving, Events, and Broad-Based donors, including contact information, recognition names, communication preferences and permissions, and record merges
  • Support gift-related reporting from Raiser’s Edge to illustrate fundraising results and inform future planning
  • Coordinate, test, assess, and support the implementation of new donation platforms and enhancements to existing systems
  • Create, update, and test online donation pages in Raisin, Race Roster, OLX, and flow-through donation pages
  • Create and update backend configurations for the JMG donation import tool in Raiser’s Edge for new Raisin donation pages
  • Support the deployment of Broad-Based email and mail fundraising solicitations, including email setup, design, testing, list management, and data tracking
  • Assist in the review and distribution of donor stewardship materials through email and mail
  • Produce annual stewardship letters reporting on the progress of endowment funds
  • Develop and maintain user procedures and documentation, prepare training materials, and support staff training related to systems and process rollouts
  • Work with the Senior Manager, Fundraising Operations and the Manager, Prospect Development and Research to support donor and gift data integrity in Raiser’s Edge through ongoing review, analysis, and reporting
  • Enter and maintain stewardship, solicitation, action, attribute, proposal, and related data in Raiser’s Edge through global uploads
  • Handle the receipt, opening, and distribution of departmental mail, including scanning cheques and supporting documentation to ensure accurate donation records and documentation
  • Perform other duties as assigned
You bring:
  • Post-secondary education in a related field or equivalent experience
  • Two or more years of experience working in a not-for-profit organization, preferably in fundraising
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, is required
  • Proven experience updating, maintaining, and reporting using a database is strongly preferred
  • Raiser’s Edge database and/or Raiser’s Edge NXT gift processing software experience is preferred
  • Knowledge of fundraising processes, procedures, and best practices is an asset
  • Experience using email marketing platforms such as Delivra is an asset
  • Exceptional attention to detail and a high standard of accuracy in all work

  • Strong interpersonal and relationship-building skills, with the ability to establish rapport and communicate effectively with members, staff, and volunteers
