Job Description

The Fundraising Database Manager has primary responsibility for overseeing the integrity, functionality, and strategic use of the CRM donor database (Raiser’s Edge) and related software containing donor information. The FDM ensures the CRM supports fundraising and communication strategies across disciplines such as Annual Giving, Major Gifts, and Special Events.

This role manages the donor pipeline, ensures accurate data entry and reporting, and enables the development team to cultivate, solicit, and steward donors effectively.

It works closely with the Finance department for regular reconciliation of donation and event revenue, and with the Organizational Impact department to analyze giving trends and donor behaviors to inform strategies.

This is a 37.5-hour-per-week position, typically Monday to Friday, with potential for hybrid work. Occasional evening and weekend hours may be required.

What You'll Do
  • Manage the database and data entry processes.
  • Maintain and improve data and gift entry policies and procedures.
  • Perform data cleaning and management.
  • Design and manage a donor pipeline tracking system, including dashboards and reports for strategic decisions.
  • Collaborate with fundraising staff to monitor donor engagement, ensure data accuracy, and identify lapsed donors and prospects.
  • Serve as the CRM expert, overseeing user roles, permissions, and security.
  • Train new staff on software and provide ongoing training on updates.
  • Handle reporting tasks, including data extraction, report creation, monthly updates, and reconciliation with Finance.
  • Assist with list generation for communications, including mailings and emails.
  • Support direct mail campaigns through segmentation, list management, and analysis.
  • Assist the Donor Relations Officer with donation processing, tax receipts, and gift coding, including training and coverage during absences.
  • Manage fundraising event software, advise on tools, ensure security, train staff and volunteers, and analyze event data.
  • Coordinate with teams to align data and reporting needs.
  • Promote a culture of inclusion and equity within the organization.
  • Follow health, safety, and wellness policies to ensure a safe work environment.
What You'll Bring
  • College or University degree.
  • 2-3 years of experience with relational databases and CRMs preferred; experience with Raiser's Edge NXT (Blackbaud certifications), Givergy, and Rafflebox is advantageous.
  • Strong proficiency in Microsoft Office Suite.
