Position Summary

The Funding and Database Officer ensures data accuracy and consistency in the Foundation’s grants management system and funding processes. Reporting to the Funding Manager, this role is vital to the Funding Team, supporting administration of funding contributions, agreements, and expense allocations.

Main Responsibilities
  1. Funding Administration (35%)
    • Supports the funding process by creating and managing grants records, finalizing reports, drafting and proofreading necessary documents, and obtaining approvals and signatures.
    • Acts as the main operational lead for at least two focus areas, supporting partner outreach related to existing funding commitments.
    • Tracks and maintains records for contracts with consultants, evaluators, and researchers.
    • Monitors application stages and follows up for necessary actions.
    • Collaborates on continuous improvement of funding processes.
    • Processes stakeholder requests in the Grants Management System (GMS) and troubleshoots issues.
    • Responds to questions about registration and application processes and manages the Foundation’s general information mailbox.
    • Supports GMS buildouts, customization, and testing.
  2. Operations and Cross-Cutting Responsibilities (30%)
    • Assists in reconciling funding and program expenses with financial software.
    • Collaborates on policies and best practices for record maintenance and data analysis.
    • Supports staff training on GMS/CRM and data governance.
    • Maintains data privacy and confidentiality, staying updated on legislative changes, and suggesting system improvements.
  3. Organizational and Site Responsibilities (20%)
    • Participates in internal groups and may represent the Foundation externally.
    • Supports onsite activities and logistics in Toronto, including meetings and partner events.
    • Manages materials, supplies, and vendor relationships in Toronto.
    • Acts as a local point of contact and booking agent.
    • Provides operational backup and helps applicants and partners navigate processes.
  4. Data and Reporting (15%)
    • Creates and maintains data visualization reports and analyzes results.
    • Monitors disbursement forecasts and flags concerns.
    • Maintains accurate digital files within the GMS, including record updates and archival requests.
Position Requirements
  • 1-3 years of experience in administration or data management.
  • CEGEP or vocational diploma.
  • Experience with grants management systems.
  • Ability to manage multiple tasks and meet deadlines.
  • Bilingual in English and French (B2 level).
