FULL-TIME EXECUTIVE ASSISTANT

Location : Strathroy Middlesex General Hospital and Hybrid (One day per week Remote Work)

Reports to : President & CEO

Position Overview

The Middlesex Hospital Alliance (MHA) is seeking a dedicated and highly organized Executive Assistant to provide comprehensive support to the President & CEO, Vice President Clinical Services & CNO, and Vice President Corporate Services & CFO.

As a key member of the Administration Office team, the Executive Assistant will play a vital role in ensuring the smooth operation of executive functions and facilitating organizational excellence. This senior-level administrative position demands a high level of professionalism, discretion, initiative, and attention to detail.

Key Responsibilities

  • Provide executive-level support including calendar management, travel arrangements, board reporting, and the handling of confidential materials.
  • Research, analyze, and summarize information for use in reports, correspondence, and presentations.
  • Act as a first point of contact for internal and external inquiries with professionalism and discretion.
  • Schedule and coordinate key leadership meetings, including preparation of agendas and materials, catering, room bookings, minute-taking, and tracking of action items.
  • Serve as a key liaison and representative of the CEO’s office to internal and external partners, including patients and families.
  • Liaise with HIROC and legal counsel on legal and liability documentation.
  • Perform other duties as assigned.

Qualifications & Requirements

  • College diploma required; certification in Microsoft Office or Office Administration considered an asset.
  • 4–7 years of senior administrative or executive support experience, preferably in healthcare or the public sector.
  • Exceptional communication skills—both written and verbal. Must have the ability to communicate clearly, concisely, with empathy and diplomacy.
  • Demonstrated ability to work effectively under pressure both independently and within a team environment.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Proven ability to professionally manage sensitive information with confidentiality, integrity and discretion.
  • Exceptional organizational and time-management skills and ability to prioritize competing demands.
  • Confident in operating standard office equipment and systems to support seamless administrative workflow.

  • Understanding and demonstration of proper body mechanics in the workplace.
  • Must have vehicle and driver’s license and be flexible to travel off-site, including Four Counties Health Services as required.
  • Must provide vaccination records or proof of immunity for measles, mumps, rubella, varicella (chickenpox), and proof of two COVID-19 vaccinations.
  • Documentation of a Tuberculosis skin test within the past 12 months is required.
