Full-Cycle Bookkeeper

Job Title: Full-Cycle Bookkeeper

Department: Finance and Legal

Reports To: Finance Manager

Position Type: Full-Time

Location: In person/ Remote (Canada-based only)

Job Summary

As the Full-Cycle Bookkeeper at Patty Slaps, you are responsible for executing all day-to-day accounting functions with accuracy, timeliness, and attention to details. You ensure that every financial transaction is recorded properly, reconciled, and documented following company and industry standards. You maintain organized, audit-ready records and provide reliable financial data to support reporting and decision-making.

Working closely with the Finance Manager (CPA), you will execute established processes while actively identifying improvements to strengthen our financial systems as we grow.

Key Responsibilities

Accounts Payable & Receivable
  • Process supplier invoices, verify accuracy, match with purchase orders or contracts, and code to correct accounts.
  • Schedule and process bill payments, ensuring all payments meet due dates and avoid penalties.
  • Reconciling daily sales and bank deposits with supporting documents.
  • Maintain an up-to-date record of store sales and outstanding payables to support accurate cash flow projections.
Banking & Reconciliations
  • Reconcile daily bank deposits with supporting documents.
  • Perform weekly and month-end bank reconciliations for all company accounts, resolving discrepancies within the same week.
  • Reconcile credit card statements, ensuring all charges have receipts and are correctly coded.
  • Investigate and resolve unmatched or unusual transactions promptly, escalating to the Finance Manager when necessary.
General Ledger & Journal Entries
  • Record and post journal entries for accruals, prepayments, adjustments, and recurring transactions.
  • Maintain the general ledger to ensure accounts are up to date and accurately reflect business activity.
  • Identify and correct mispostings or duplications in a timely manner.
Expense Tracking & Compliance
  • Review and verify employee expense claims against receipts and policy guidelines.
  • Ensure all transactions have complete supporting documentation for audit readiness.
  • Flag and report non-compliant expenses to the Finance Manager.
Month-End & Year-End Preparation
  • Prepare and update month-end schedules, including accruals, prepaid expenses, and depreciation schedules.
  • Reconcile prepaid, accrual, and loan accounts monthly, ensuring no unreconciled balances remain.
  • Assist in compiling financial packages for monthly review by the Finance Manager and leadership.
  • Support the Finance Manager in preparing year-end working papers for the external accountant/auditor.
Financial Record Management
  • Maintain a structured Google Drive folder system for financial documents, ensuring documents are labeled, dated, and easily retrievable.
  • Archive past periods in line with record retention policies.
  • Track and log all financial documents to ensure none are missing or misplaced.
Collaboration & Process Improvement
  • Collaborate with other departments to obtain missing documentation or resolve discrepancies.
  • Provide clear, actionable financial data to support decision-making. Recommend and implement process improvements to increase accuracy, efficiency, and compliance.
  • Stay updated on relevant accounting regulations and best practices to ensure company compliance.

Qualifications

  • 2–4 years of bookkeeping or accounting experience
  • Proficiency with QuickBooks Online
  • Strong skills in Google Sheets and Google Drive organization
  • Diploma or advanced diploma in accounting or bookkeeping
  • CPB designation or QuickBooks certification (preferred)
  • Highly organized, independent, and proactive — able to manage deadlines without heavy supervision
  • Fluent in English (French is an asset)
  • Must be legally eligible to work in Canada and available full-time (9:00 AM – 5:00 PM EST)
