About the Role

An opportunity is available for a Bilingual Executive Assistant to provide high-level administrative support to the senior executive of a prominent investment management organization. The role is essential in optimizing executive productivity and enhancing coordination across internal and external stakeholder groups.

Key Responsibilities

Executive Support & Calendar Management :

  • Manage the EVP’s calendar, schedule and coordinate travel, draft emails, handle correspondence, prioritize inquiries, and oversee daily communications.
  • Balance multiple priorities, adjust to shifting demands, and apply strong business judgment.

Meeting Coordination :

  • Prepare meeting agendas, document action items, follow up on outcomes, and support materials for board and investment committee meetings.
  • Documentation & Presentation :

  • Produce high-quality documents, presentations, and briefing materials using MS Word, Excel, and PowerPoint.
  • Work closely with internal teams to organize meetings, manage reporting needs, and support ongoing projects.
  • Process Optimization :

  • Recommend and implement administrative improvements for workflow efficiency and information management.
  • File & Information Management :

  • Organize and maintain confidential records and databases.
  • Event Management :

  • Coordinate internal events, including logistics, presenters, IT setup, live translation, and follow-up communication—ensuring confidentiality and smooth execution.
  • Administrative Support to Departments :

  • Support Talent and Finance teams with onboarding, expense processing, and ad hoc tasks.
  • Work with executive assistants across the organization on special projects and participate in internal committees.
  • Candidate Profile

    Experience :

  • 4–7 years in an executive assistant role, preferably within the financial sector. Post-secondary education in business administration or a related field is required; a bachelor's degree is an asset.
  • Bilingual fluency in French and English (oral and written) is essential.
  • Excellent judgment, initiative, and discretion in handling sensitive matters.
  • Strong organizational and time-management skills.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Familiarity with AI productivity tools (e.g., Co-Pilot, ChatGPT) is a plus.
  • Confident communicator with a collaborative and professional demeanor.
  • Ability to build trusted relationships and influence without authority.
