Freelance Experiential Marketing (XM) Project Manager

We’re seeking a talented and detail-oriented Freelance Experiential Marketing Project Manager to lead and execute engaging brand experiences that resonate with target audiences. This role involves managing every aspect of XM campaigns, from concept through execution, while ensuring that projects are delivered on time, within budget, and to a high standard.

The ideal candidate is organized, adaptable, and experienced in managing brand activations, events, and other experiential marketing initiatives.

Key Responsibilities:
  1. Project Planning & Execution:
    • Develop detailed project timelines, budgets, and scopes of work.
    • Coordinate with internal teams, vendors, and stakeholders to execute brand activations and events seamlessly.
    • Oversee logistics, staffing, and on-site operations to ensure smooth execution.
  2. Client & Stakeholder Management:
    • Serve as the primary point of contact for clients during the project lifecycle.
    • Ensure client goals and KPIs are clearly defined and achieved.
    • Provide regular status updates, manage approvals, and address client feedback promptly.
  3. Team Coordination:
    • Recruit, onboard, and train Brand Ambassadors or field staff as needed.
    • Collaborate with creative teams to develop experiential concepts that align with the brand’s strategy.
    • Manage third-party vendors, such as production companies, venues, and equipment suppliers.
  4. Budget & Resource Management:
    • Negotiate contracts and rates with vendors and partners.
  5. Post-Event Reporting:
    • Compile and analyze event metrics, including ROI and audience engagement data.
    • Develop detailed post-event reports with key learnings and recommendations for improvement.
Skills & Experience Required:
  1. Experience:
    • 3–5 years of experience in experiential marketing, event management, or a similar field.
    • Proven track record of successfully managing large-scale brand activations and events.
  2. Skills:
    • Strong organizational and project management skills.
    • Excellent written and verbal communication skills.
    • Proficiency in budget management, timelines, and reporting.
    • Ability to work under pressure and adapt to shifting priorities.
    • Familiarity with managing Brand Ambassadors.
  3. Technical Knowledge:
    • Proficiency in project management tools (e.g., Asana, Trello, Monday.com).
    • Comfortable with reporting software and tools like Excel, Google Sheets, or CRM platforms.
  4. Availability:
    • Flexible schedule to accommodate project demands, including evenings and weekends when necessary.
    • Willingness to travel for activations, site visits, or client meetings.
