Visit.org is seeking an experienced and responsible Freelance Event Specialist based in Hamilton, Canada, to manage logistics for upcoming in-person events held in various locations nearby. Responsibilities
- Coordinate all event details, including shipping materials and staffing, and serve as the onsite coordinator for engaging, team-building activities that support a cause.
- Participate in virtual planning meetings with all stakeholders prior to each event.
- Manage onsite responsibilities such as setup, alignment with the team, teardown, site cleanup, problem-solving, and ensuring a high-quality experience.
- Represent and lead the Visit.org team at events, resolving issues as they arise.
- Coordinate roles and responsibilities among event staff, nonprofit partners, venues, and corporate clients.
- Oversee check-in processes, providing a welcoming environment for guests.
- Address and resolve logistical issues like missing supplies or technical challenges.
- Communicate updates and share media with the Events Team during events.
- Assist with post-event cleanup, packing, and shipping of materials.
Qualifications
- Fluent in English with excellent communication skills.
- Based in Hamilton, Canada.
- Flexible schedule with availability for per-event contracts.
- Experience managing large-scale and intimate events, with a track record of high-quality execution.
- Resourceful, solutions-oriented, and able to work under pressure.
- Quick thinker with problem-solving skills for dynamic situations.
- Organized, detail-oriented, and proactive.
- Enjoy building customer relationships and providing excellent service.
- Experience facilitating groups and managing group dynamics.
- Available to work flexible hours, including nights and weekends, and willing to travel locally.
- Strong interpersonal skills, especially in fast-paced environments.
- Comfortable engaging with large crowds.
