Okanagan College is seeking a Food Services Coordinator in Kelowna. This part-time position involves managing inventory, vendor relations, and daily operational tasks for the Market, providing excellent customer service while maintaining accurate financial records. Ideal candidates will have experience in food services and related educational backgrounds.
Position Information Position Number S00886 Position Title Food Services Coordinator Division / Portfolio Ancillary and Business Services Department / Program Ancillary & Business Services Location Kelowna Other Flexible Work Options Your Opportunity Reporting to the Manager, Business Services, the Food Services Coordinator supports the efficient daily operation of the Market, communicates with food & beverage suppliers for day-to-day operations, purchases inventory and supplies for the Market and maintains inventory controls; The position provides support for and performs Market Attendant duties as required; customer service, cashier duties, limited food preparation; stocking of product. Functions and Duties 1. Orders all food, beverage and paper supplies for the Market, monitors and maintains adequate levels of inventory to meet demand while minimizing physical waste and losses / write-offs.
2. Processes receiving of orders daily, verifying accuracy and reporting any discrepancies to the vendor and works with them to have corrected or adjusted before invoicing
3. Collects and processes invoices for payment, verifying accuracy to receiving memos, Works with vendors and suppliers to resolve billing and delivery issues, reviews invoices for completeness and accuracy and processes payment submission
4. Completes daily cash balancing, deposit and report consolidation. Investigates any discrepancies to determine the cause and processes necessary corrections to balance.
5. Responsible for supporting and maintaining vendor relationships through regular communication.
6. Makes recommendations to Business Services Administrator for new vendors / suppliers and identifies potential opportunities for new menu items or improved product diversity.
7. Identifies and investigates unusual transactions, and ensures adherence to financial processes and procedures; assesses the causes of variances and recommends corrective actions
8. Generates requests to purchase and processing of payment, as related to the department activities
9. Coordinates feedback from Students, Employees and Vendors and under the guidance of the Business Services Administrator, implements changes to respond to specific feedback.
10. Works collaboratively with other partners and institutions to share best practices and market trends
11. Coordinates internal orders and catering orders for Market vendors.
12. Maintains effective communication within the department and between other departments, centers, and the external community
13. Under the supervision of the Business Services Administrator, assists with the planning, implementation, and tracking of all promotions in the Market.
14. Programs and maintains point of sales system to ensure all products are accurately loaded and priced within set guidelines.
15. Supports and fosters a team approach within the department and is committed to providing quality customer service and continuous improvement.
16. May be assigned special projects as needed
17. Performs other duties as assigned
Education and Experience Completion of a post-secondary degree or 2 year diploma in Business, Food & Beverage or Hospitality Management.
Minimum 3 to 5 years related Food and beverage industry experience, preferably in an order procurement or supervisory role or an equivalent combination of education and experience will be considered.
Completion of Food Safe Level 1 or willingness to complete within 90 days of being hired.
Experience with retail food services systems and operations : inventory control, point of sale, pricing, procurement, revenue / profit margins, marketing / sales and food handling.
Skills and Abilities - Excellent communication and interpersonal skills, including customer service, conflict resolution, and creative, collaborative problem-solving skills.- Excellent verbal and written communication skills.- Strong negotiation and relationship management skills- Ability to work effectively both independently and as part of a team with an aptitude for working in a collegial and collaborative environment- Ability to analyze data and make informed purchasing decisions- Responsive to and capable of providing timely communication on all issues of consequence.- Ability to monitor, recommend and take action on issues that may have considerable operational implications.- Excellent organizational skills with superior attention to detail and accuracy- Must be flexible and able to manage a high work volume and conflicting priorities in order to meet deadlines.- Demonstrated knowledge of procurement, inventory control and pricing practices.- Technically competent : excellent computer skills with proficiency using Microsoft 365 and online collaborative platforms; skilled in analysis of data and generating reports. Preferred Qualifications Desired Start Date 08 / 15 / 2025 Position End Date (if temporary) Schedule Monday to Friday 20 hours per week.
Hours can be flexible as long meets business needs.
