Job summary

United Farmers of Alberta Co-operative Limited is seeking a Fleet Services Analyst to support administration, reporting, and data management for the vehicle and equipment fleet. You will manage data across systems, assist with lifecycle replacement modelling, budgeting, compliance, vendor coordination, and drive modernization through data-driven improvements.

The role involves coordinating fleet processes, analyzing expenses, and supporting cost-control decisions while maintaining driver records

Qualifications

  • Post-secondary education in business, accounting, data analytics, or an equivalent mix.
  • 1–3 years experience in business operations, analytics, fleet coordination, or related support.
  • Ability to work with large datasets from multiple systems and develop actionable reporting.
  • Strong proficiency with Microsoft 365 and advanced Excel; familiarity with Copilot AI.

Responsibilities

  • Coordinate day-to-day fleet administration and asset information management.
  • Extract, integrate, and maintain data from SAP, telematics, and other systems.
  • Support SAP-based project and financial administration, including budgeting and POs.
  • Review monthly fleet expenses and analyze trends for cost control.
  • Process driver data and maintain safety/compliance records.
  • Maintain driver records and NSC-related documentation.
  • Review and improve fleet policies and intranet documents.
  • Identify opportunities to streamline fleet administration and processes.

Position Summary:

Reporting to theSenior Manager,Corporate DevelopmenttheFleet Services Analystsupports the administration, reporting, and data managementrequiredtomanageUFA’sextensivevehicle and equipment fleet. This rolemaintainsaccurate fleetand financial informationacross systems; supportslifecycle replacement modelling,budgeting, compliance,vendor coordination, andreporting; and plays a critical role in modernizing and optimizing fleet management through improved data, processes,and analysis.

Key Responsibilities:
  • Coordinate day-to-day fleet administration, including routine processes, asset informationmanagement, sharedinbox support, vendor setup, and internal fleet-related requests.
  • Extract,integrate, and maintaindata from SAP, telematics, and other internal systems to support UFA’s fleet lifecycle replacement model,recurringreporting, and ad hoc analysis.
  • Support project and financial administration in SAP, includingbudget tracking, costcentre management, purchase orders, invoice processing, and project close-outactivities.
  • Review monthly fleet expenses, prepare reporting, and analyze trends and variancesto support cost control and operational decision-making.
  • Support organizational health and safety by processing and tracking driver data,including speeding incidentsand related follow-up information.
  • Maintain driver records, driver abstracts, and related compliance documentation to support organizational compliance with federal National Safety Code requirements.
  • Support the review,maintenance, and ongoing accuracyof department policies, procedures, and intranet documentation.
  • Identify opportunities to streamline fleet administration, support implementation of process improvements, and help maintain consistency across fleet processes.
Qualifications:
  • Post-secondary education in business, accounting, data analytics, or a related field, oranequivalentcombination of education andexperience.
  • 1–3 years of experience in business operations, analytics, fleet coordination, administrative support, or a related function.
  • Ability to work with large datasets from multiple systems, develop actionable reporting, and identify opportunities for process improvement or automation.
  • Strong proficiency with Microsoft 365, including advanced Excel skills and experience using AI tools such as Copilot.
  • Experience with SAP or other enterprise systems ispreferred butnot required.
  • Knowledge of fleet operations, telematics, or commercial vehicle regulations is considered an asset, but not required.
  • Strong communication skills, attention to detail, and the ability to manage competing priorities independently.
