Job Summary

The Fleet Coordinator will support daily operations at Clearway Vancouver, focusing on equipment and rental needs for our regional operations, including internal requirements and third-party rentals, as well as fleet vehicle maintenance and administration.

This role reports to the Fleet and Logistics Superintendent (based in Toronto) with a dotted line to the Regional Manager - BC Division.

Location: Clearway's Yard, 23840 River Road, Maple Ridge, BC, V2W 1B7.

This position requires occasional visits to various job sites across Greater Vancouver.

Hours of Operation: 7:00 am to 5:00 pm (PST)

Compensation Range: $70,000 - $80,000

Essential Duties & Responsibilities
  1. Equipment & Rental Coordination
  2. Maintain the Hilti system, including locations, tagging, re-rentals, assets, and GPS units on equipment.
  3. Ensure tool certifications and maintenance are completed and tracked.
  4. Manage tool inventory, certifications, safety inspections, and stock consumables.
  5. Assist in organizing equipment moves and processing orders for job consumables.
  6. Rental and Re-Rental Coordination
  7. Monitor daily rentals and extension requests, negotiate pricing, and manage rental contracts.
  8. Review invoices and work with vendors for credits.
  9. Develop relationships with rental vendors for better service.
  10. Supporting Insurance Requests
  11. Process rental requests and create purchase orders for equipment and services.
  12. Track rental requests and update online databases.
  13. Fleet Coordination
  14. Licensing & Compliance
  15. Ensure equipment is properly plated and renew licenses as needed.
  16. Conduct driver abstract checks and vehicle inspections.
  17. Coordinate repairs with vendors and work with ICBC on accident reports.
  18. Fleet Maintenance
  19. Maintain service records and schedule inspections and permits.
  20. General Fleet Administration
  21. Communicate changes to driver assignments and manage fuel cards and tickets.
  22. Perform other duties as needed, including outside work hours for emergencies.
Ideal Candidate

Post-secondary education preferred. Minimum 2 years' experience in fleet, logistics, or site operations, preferably in construction or equipment rental. Proficient in Microsoft Office, Adobe, and fleet management software like Texada or Hilti. Strong communication, organizational, and multitasking skills. Legally eligible to work in Canada; no sponsorship available.
