Qualifications

  • Valid G-class driver's license with a clean abstract.
  • Ability to lift 20 lbs regularly.

Position Summary

Reporting to the Fleet Manager, the Fleet Administrator & Coordinator, Parts & Supply, manages the daily administrative operations of the Fleet Services department. Responsibilities include processing work orders and vendor invoices, maintaining parts and vehicle inventory, managing vendor relationships, supporting procurement, and reporting to ensure efficient fleet and facility operations.

Your Role

  • Enter vendor invoices and verify/close repair orders using fleet software (e.g., Dossier)
  • Scan, file, and attach PM and warranty documentation
  • Maintain and organize physical and digital files
  • Process vehicle and parts warranty claims
  • Issue purchase orders and assist with inventory counts
  • Maintain vendor and vehicle files
  • Establish and manage vendor relationships and service contracts
  • Order and stock parts and supplies
  • Negotiate pricing and maintain minimum inventory levels
  • Prepare month-end and fuel reports
  • Track mileage, PM status, and out-of-service units
  • Assist with closing reports and inventory valuations
  • Provide backup support and pick up/deliver vehicles/parts as needed

Work Schedule

Monday to Friday, 7:30 AM to 4:00 PM

Requirements

  • Secondary school diploma or equivalent; post-secondary or vocational training is an asset
  • 2-3 years in a similar role, preferably in fleet or maintenance operations
  • Valid G-class driver’s license with a clean abstract
  • Ability to obtain a criminal record check
  • Experience with fleet software (e.g., MIR) is an advantage
  • Knowledge of warranty or parts management
  • Ability to lift 20 lbs regularly
  • Highly organized, detail-oriented, with multitasking skills
  • Proficient in Microsoft Office 365, including Excel and Word
  • Strong communication and interpersonal skills
