Job Summary: The Finance & Operations Support we need to be highly organized and proactive to support all levels of our senior leadership team. This role will enhance operational efficiency, streamline administrative tasks, and provide high-level support to leadership, ensuring they can focus on strategic priorities. This role requires an individual who exemplifies the company values of humble, driven, and solutions-oriented.

Role and Accountability:

  • Maintain operational workflows and identify areas for process improvement
  • Support office management tasks (supplies, vendor coordination, etc.)
  • Track key performance indicators and prepare related documentation or dashboards
  • Manage and prioritize calendars, scheduling, and correspondence for senior leadership
  • Prepare materials for meetings, track action items, and ensure follow-ups are completed
  • Support EOS (Entrepreneurial Operating System) processes, ensuring timely tracking of Rocks, Scorecards, and key metrics
  • Coordinate travel arrangements, event logistics, and personal administrative tasks as needed
  • Handle travel coordination, planning and high-touch event planning with attention to brand representation.
  • Assemble monthly executive summaries, encompassing our key corporate division, finance, operations, Marketing Q/A, orchards, Human Resource, and Facilities (Housing)
  • Maintain accurate expense reporting for senior management team
  • Maintain confidentiality and handle sensitive information with professionalism
  • Draft and manage emails, reports, presentations, and internal communications
  • Assist in HR-related administrative tasks, leveraging HR/Legal knowledge where applicable
  • Collaboration with the Strategic Project Manager (SPM)
  • Work closely with the SPM to track and manage leadership priorities
  • Ensure alignment between executive priorities and strategic initiatives
  • Assist in preparing leadership meetings, ensuring data, agendas, and documentation are organized
  • Support the execution of cross-functional projects, ensuring alignment with company objectives
  • Help streamline meeting follow-ups, decision documentation, and task delegation
  • Execute daily responsibilities to meet departmental goals while adhering to company values (Humble, Driven, Solutions-Oriented).
  • Provide feedback and suggestions to improve processes within the scope of the role.
  • Attend relevant department and company-wide meetings, including Level 10 meetings, contributing to organizational alignment and effectiveness.
  • Collaborate cross-functionally to address challenges, develop solutions, and align strategies with company goals.
  • Utilize Microsoft To-Do (or similar) for task tracking and reminders, ensuring productivity and accountability.
  • Perform other duties as assigned.
Knowledge, Skills and Abilities:
  • Proven experience as an Executive Assistant, Operational Assistant, or similar role supporting senior leadership.
  • Strong organizational and time management skills with the ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant business tools.
  • Experience handling confidential information with discretion.
  • Problem-solving mindset with a proactive, self-starter approach.
  • HR or legal knowledge is a plus but not required.
  • Experience or coursework in HR/Legal is a plus.

Education and Experience:
  • Post-secondary education in Business Administration, Office Management, Human Resources, or a related field (A diploma or degree is preferred, but relevant experience may substitute for formal education in some cases.)
  • Additional coursework or certification in project coordination, HR administration, or legal studies is considered an asset.
  • 3+ years of experience in an Executive Assistant, Operations Assistant, or similar administrative support role, ideally supporting senior leadership.
  • Experience in fast-paced, cross-functional environments where managing multiple priorities and projects is essential.
  • Familiarity with EOS (Entrepreneurial Operating System) or similar business operating frameworks is a strong asset.
  • Experience in HR or legal environments is a plus, especially involving document handling, confidentiality, and compliance-related support.
  • Proficiency in digital tools and platforms such as Microsoft Office Suite, task tracking software (e.g., Microsoft To Do, Microsoft Loop, Monday.com), and data dashboards (e.g., Excel, PowerPoint).

Salary$45,000–$65,000 annually
