The Wikwemikong Tribal Police Service is currently seeking and accepting applications for a Finance and Human Resources Assistant position.
Under the direct supervision of the Administrative Division Commander or Designate, the Finance and Human Resources Assistant will assist in the Finance and Human Resources department areas. The incumbent will assist in ensuring efficient administrative and financial operations within the organization, contributing to the overall effectiveness of the Wikwemikong Tribal Police Service, and provide administrative support to the WTPS team as well as assist with special projects related to the overall objectives of the WTPS as assigned.
Key Duties/Responsibilities
Experience in financial management and financial file maintenance.
Process payroll for salary and hourly employees, retroactive payment, reconcile, and verify accuracy of payroll submission ensuring compliance with regulatory requirements.
Establish and maintain organized filing systems for financial transactions, ensuring adherence to accounting standards and organizational policies.
Record and document financial transactions such as invoices, expenses, payroll records, and receipts for proper documentation and audit trail.
Collaborate closely with the finance team to uphold financial management procedures and guidelines.
Assist in budgeting processes by gathering financial data and preparing reports to support budget analysis.
Generate financial statements and reports as needed for financial reporting activities.
Manage a high-volume workload efficiently, prioritizing tasks to meet strict deadlines for payroll, accounts payable, accounts receivable, and other financial activities.
Maintain WSIB bi-weekly in-house report for year end reconciliation, remittance, and reporting to WSIB.
Responsible for Ontario Pension Board for Uniform Staff and Civilian staff, for online enrolment, termination, pension calculation, and remittance.
Maintain up to date information of current and emerging payroll legislation.
Maintain pay scheduling, preparing pay budgets, maintain and update salary grids as required.
Act as a liaison with external agencies.
Proficient in Microsoft Office applications, DayForce Payroll software, Sage Accounting software, InTime Software, and general computer skills a definite asset.
Use discretion and maintain confidentiality.
Multi-task in a high-volume working environment, ability to work with tight deadlines.
Prepare and process confidential documentation/forecast reports related to Human Resources.
Prepare and process statistical information for internal and external stakeholders, Finance Manager, and auditors when required.
Maintain accurate Human Resource files both electronic and hard copy.
Maintain historical data by designing filing and retrieval system, keeping past and current records.
Complete operational requirements as required by the Human Resources Manager and Finance Manager.
Assist with various special projects directly related to the overall objectives of WTPS, and perform other duties as assigned.
Education and Experience
Diploma or Degree in Payroll/Finance/Accounting/Business Administration from a college with a Canadian accreditation.
Any relevant certificates related to the position being applied for.
3 – 5 years of previous work experience in a related field considered an asset.
Proficiency in Microsoft Office software applications.
Must have awareness of First Nation culture and traditions.
Must possess a valid class G Ontario Driver Licence.
Ability to maintain confidentiality a MUST and be prepared to take an Oath/Affirmation of Office and Secrecy.
Must be of good moral character, no criminal record, and must pass a detailed background check.
Must be a permanent resident of Canada.
