Job Title : Finance & Administrative Manager

Position Overview :

We are seeking a highly organized and detail-oriented Finance & Administrative Manager to oversee daily financial operations and provide comprehensive administrative support across multiple departments. This role plays a key part in maintaining efficient business practices, supporting leadership, ensuring ISO 9001 compliance, and contributing to customer and employee satisfaction.

Key Responsibilities :

  • Manage accounts payable : process supplier invoices, ensure appropriate approvals, and execute timely payments.
  • Oversee accounts receivable : monitor outstanding invoices, perform collection follow-ups, and ensure adherence to credit policies.
  • Conduct account reconciliations and prepare monthly, quarterly, and year-end financial reports.
  • Assist with tax filings (HST, corporate tax, payroll remittances) and liaise with external accountants and tax advisors as needed.
  • Support the President with financial reporting for investors and external communications, including legal and compliance matters.

Administrative & Operational Support :

  • Maintain and update the ISO 9001 Quality Management System and assist in annual audits.
  • Ensure accurate tracking of all projects in line with ISO processes, including quotations, dockets, shipping / receiving, and purchase orders.
  • Act as a first point of contact for customers and suppliers : handle calls, inquiries, and correspondence professionally.
  • Manage shipping and receiving operations, coordinating documentation with third-party logistics providers and clients.
  • HR & Training Coordination :

  • Coordinate Employee Health & Safety and Technical Training Programs; maintain the ISO 9001 training matrix.
  • Track and maintain employee records including vacation, sick days, and attendance logs.
  • Organize meetings, technical training sessions, events, and team travel arrangements.
  • Project & Team Support :

  • Provide project tracking and administrative assistance to the 3D Application Engineering / Technical Services team to ensure deadlines are met.
  • Support the Accounting, Sales, and Marketing teams to ensure smooth day-to-day operations.
  • Prepare business documents including letters, reports, purchase orders, and expense summaries.
  • Qualifications :

  • College Diploma in Business Administration or equivalent experience.
  • 5–10 years of progressive experience in a professional office setting.
  • Strong proficiency in Microsoft Office Suite and QuickBooks.
  • Exceptional customer service and communication skills (written and verbal).
  • Ability to communicate technical information at a basic level; fluency in English is required, a second language is an asset.
  • Experience working in a professional engineering or technical environment is preferred.
