Responsibilities

  • Daily processing of supplier invoices and ensuring approvals.
  • Tracking outstanding customer invoices and making collection calls.
  • Account reconciliations and monthly/quarterly financial reports.
  • Preparing financial reports for investors.
  • Maintaining ISO 9001 Program and participating in audits.
  • Ensuring projects adhere to ISO 9001 processes.
  • Answering calls and inquiries from customers and suppliers.
  • Coordinating Employee Health & Safety and training programs.
  • Assisting in tracking ongoing and upcoming customer projects.
  • Supporting various departments, including Accounting and Marketing.
  • Overseeing shipping and receiving documentation.
  • Drafting letters, expense reports, and maintaining logs.
  • Scheduling meetings and managing events.

Job description

Role: Finance and Administrative Manager

Salary Range: $60,000 - $80,000 + benefits program

Work Location: Woodbridge, ON - in office daily with flexible hours

Start Date: Immediate

Roles and Responsibilities:
  1. Accounts payable – daily processing of supplier invoices, ensuring approvals and timely payments.
  2. Accounts receivable – tracking outstanding customer invoices, making collection calls, and ensuring credit policy compliance.
  3. Financial reporting – account reconciliations, monthly/quarterly reports, year-end external reporting, and support for tax filings including HST, corporate income tax, and payroll remittances, in collaboration with external CPA and tax advisors.
  4. Support to company President – preparing financial reports for investors and assisting with external media, communication, legal, and compliance matters.
  5. ISO 9001 Program – maintaining, updating, and participating in annual audits.
  6. Project tracking – ensuring projects adhere to ISO 9001 processes, including preparing quotes, receiving/shipping, closing dockets, and purchase orders.
  7. Business support – answering calls and inquiries from customers and suppliers.
  8. Employee programs – coordinating and documenting Employee Health & Safety and Technical Training Programs, updating ISO 9001 training matrix.
  9. Project management support – assisting the 3D Application Engineering/Technical Services group in tracking ongoing and upcoming customer projects to meet deadlines.
  10. Administrative support – supporting Accounting, Technical Services, Sales, and Marketing departments.
  11. Shipping and receiving – overseeing documentation and coordination with third-party shippers and customers.
  12. Communication and records – drafting letters, faxes, expense reports, purchase orders, and maintaining employee vacation/sick logs.
  13. Meeting and event coordination – scheduling meetings, planning events, managing travel, and setting up training courses for the technical team.
