Job Description

Role : Finance and Administrative Manager

Salary Range : $60,000 - $80,000 with benefits program

Work Location : Woodbridge, ON - in-office daily with flexible hours

Start Date : Immediate

Roles and Responsibilities :

  1. Accounts payable: daily processing of supplier invoices, ensuring appropriate approvals and timely payment processing.
  2. Accounts receivable: monitor outstanding customer invoices, make collection calls, and ensure compliance with credit policies.
  3. Account reconciliations, preparation of monthly and quarterly financial reports, and support for year-end external financial reporting, tax filings (including HST, corporate income tax, payroll remittances), working closely with external CPA and tax advisors.
  4. Assist the company President in preparing financial reports for investors and support external media, legal, and compliance matters as required.
  5. Maintain and update ISO 9001 program, participate in annual audits.
  6. Track all projects according to ISO 9001 processes, including preparing quotes, receiving/shipping, closing dockets, and purchase orders.
  7. Provide business support by responding to customer and supplier inquiries.
  8. Coordinate and document Employee Health & Safety and Technical Training Programs, update ISO 9001 training matrix as needed.
  9. Assist in project management for the 3D Application Engineering / Technical Services group, tracking ongoing and upcoming customer projects to meet deadlines.
  10. Support administrative functions for Accounting, Technical Services, Sales, and Marketing departments.
  11. Oversee shipping and receiving, ensuring proper documentation and coordination with third-party shippers and customers.
  12. Draft letters, faxes, expense reports, purchase orders, and other documents as required.
  13. Maintain employee vacation and sick day logs and related records.
  14. Schedule and coordinate customer and team meetings, event planning, reservations, travel arrangements, and training courses for the technical team.
