Kinark Child & Family Services seeks a motivated Filing and Administration Clerk for a Summer Student position at their Markham office. What we offer:
Job Summary:
Reporting to the Manager, Employee Experience (People and Culture), the Admin filing clerk position will be responsible for reconciling the filing backlog with Performance Management, and updating and maintaining existing personnel files.
Filing and Administration Clerk (summer student Job) duties and responsibilities:
• Create and maintain personnel files for employees with their Performance Management records
• Track and manage all the incoming electronic paperwork and print copies for filing and distribution
• Support document requests from the People and Culture team
• Tracking and reporting on filing progress
• Manage file access requests and keep logs
• Maintain an efficient filing system
• Adhere to policies and procedures for personal data protection
• Monitor and manage inventory of files and supplies; report shortages and replenish as needed
• As the successful candidate, you will be responsible for the following: Verbal, written and electronic communication regarding the file room
• Perform audit of files and reconcile deficiencies
Qualifications:
• Requires high school education**
• Strong time management, organizational and analytical skills
• Demonstrated ability to fulfill responsibilities with a high regard for detail and accuracy
• Proficiency with Microsoft Office Suite – specifically Excel, along with a willingness and ability to learn other software programs as required
• Excellent oral and written communication skills
• Ability to work in a fast-paced environment
