Job description

Overview

Under direct supervision, the Field Support Representative (FSR) is assigned to a temporary in-house talent pool, providing replacement and short-term administrative services in place of Office Service Reps (and others) who are out of the office. The FSR will be assigned a home location but will be scheduled to visit other client sites within the region to provide multiple disciplines such as fax, print, mail, reception, and other duties as assigned.

NOTE: This position requires heavy travel (up to 75%), reliable public transportation or a personal vehicle with a clean driving record. Business travel expenses will be reimbursed.

Responsibilities
CUSTOMER SERVICE

· Ensure total customer (internal & external) satisfaction through understanding of customer expectations, proactive problem resolution, and relationship building.

MAIL/PACKAGES/POUCHES

· Receive, sort, and deliver all incoming mail & packages according to assigned floors and time frames. Wrap, seal, weigh, affix postage, and dispatch outgoing mail/packages per postal regulations.

· Prepare special outgoing inter-office pouches for client affiliates as scheduled.

· Package and process outgoing overnight items (Federal Express, UPS, etc.) to meet deadlines. Log and deliver incoming overnight packages.

· Log outgoing and incoming items, reviewing for accuracy and completeness.

· In some locations, may be required to walk or deliver legal packages, securing signatures and documentation for proof of delivery.

SUPPLIES/COPYING/FAXING/ADMINISTRATION

· Organize, distribute, verify, and log supplies. Monitor inventory of copy supplies, paper, and toner. Keep supply area neat.

· Handle distribution of items to client employees, affiliates, dealers, etc.

· Estimate run time for photocopy jobs, check quality and accuracy, produce bound copies, and manage delivery and pickup.

· Perform minor maintenance on photocopy machines, such as clearing jams and routine cleaning.

· Operate fax machines, send/receive faxes, maintain logs, and generate reports as needed.

· Perform other administrative duties like copying, faxing, and scanning as required.

· Learn new office automation features and functionalities as introduced.

Additional functions at the direction of the Site Manager include:

· Set up and maintain kitchen and conference areas, order food, and make coffee.

· Provide reception duties, answer phones, take messages, greet visitors.

· Move boxes, supplies, furniture, replace light bulbs.

· Perform document scanning and prepare outgoing shipping items.

· Perform other site-specific responsibilities and prepare productivity/billing reports.

Qualifications
  • High school diploma or equivalent
  • 1-3 years’ experience in a mailroom or professional office environment
  • Ability to perform basic job functions under general direction
  • Knowledge of metering, weighing, logging, and shipping procedures
  • Basic computer skills
  • Ability to operate equipment like fax, scanner, copier, and tracking systems
  • Supervision and instructions provided for routine work; detailed instructions for new or special tasks
  • Occasional external contacts involving information exchange
  • Excellent customer service, professional appearance, and attitude
  • Ability to work overtime and meet deadlines

  • Physical activity including bending, reaching, lifting, prolonged sitting or standing
