Status: Full-time, Contract ending March 31, 2026 with the possibility of extension

Schedule: Monday - Friday, Standard 38.75 hour work week

Location: Primary Care Network Wellness Centre at #4000, 1800 194 Avenue SE; Calgary, AB

Reports to: Director, Finance & Human Resources

Position Summary

The Facility Coordinator is responsible for the smooth and efficient day-to-day operations of the SCPCN Wellness Centre. Responsibility includes maintaining the operational integrity and safety of the facility. This role involves managing building security, repairs, maintenance, and renovations. The Facility Coordinator will oversee supply inventory, including office and clinical supplies, and, as an active member of SCPCN’s OH&S committee, help ensure compliance with occupational health and safety regulations. Additionally, this position leads office moves and is part of the emergency call back list, responding to facility emergencies as needed.

What Does the Role Do?

Building

Oversee the maintenance and operations of the building to ensure a safe and efficient work environment.

  • Security: Following security protocols, ensuring entrance points in and out of the building are accessible, functioning efficiently and addressing / resolving any concerns in a timely manner.
  • Repairs: Coordinate with building management company and oversee repairs to the building infrastructure, ensuring timely and effective resolution of issues.
  • Maintenance: Complete regular walk throughs of building to ensure facilities remain in optimal condition. Take lead on contacting building management company, outlining any identified maintenance concerns, and ensure resolution is provided in a timely manner.
  • Cleaning: Manage Housekeeping contract with external vendor and bring forward any concerns to cleaning staff team, ensuring that all areas of the building are kept clean and sanitary.
  • Renovations: In partnership with the Senior Leadership Team (SLT), execute shared renovation plans to enhance the functionality and appearance of the building.
  • Alarm Systems: Monitor and maintain the building's alarm systems to ensure they are fully functional and compliant with safety regulations.
  • Duress Alarms: Perform quarterly checks of duress alarms throughout Wellness Centre to ensure they are functioning properly.
  • Fire Alarm Drills: Take lead on coordinating annual fire / emergency alarm drill at Wellness Centre.

Supplies

  • Create and maintain an inventory of all supplies and place orders as needed to ensure adequate stock levels.
  • Office Supplies: Ensure that all necessary office supplies are available and stocked for staff use.
  • Clinical Supplies: Manage the inventory, ordering and storage of clinical supplies to support healthcare operations. Work with Admin support to coordinate with clinical staff to identify supply needs and place orders accordingly.
  • Other Supplies: Oversee the procurement and inventory management of any additional supplies required at the Wellness Centre.

Occupational Health & Safety

  • Hazard Assessments: Create Hazard Assessment documentation for newly created positions at SCPCN. Initiate and ensure compliance of annual Hazard Assessment review process with each team; In partnership with another member of the OH&S Committee, conduct quarterly hazard assessment walk throughs to identify and mitigate risks within the facility.
  • Infection Prevention & Control: In partnership with Clinical Leadership, implement, update and monitor infection prevention and control measures to safeguard the health of staff and patients.
  • Building Inspection: Take lead on coordinating with building management and elevator companies the annual building inspection.
  • Incident Reporting: Manage the reporting of OH&S-related incidents (other than those that fall within the Respectful Workplace policy), ensuring that they are documented, addressed appropriately and shared accordingly with OH&S Committee.
  • Included in SCPCN’s Emergency Call Back list, being available to respond to off hours facility emergencies as needed.

Office Moves

  • Under the direction of SLT, lead and coordinate office moves, ensuring smooth transitions and minimal disruption to operations.

Who Should Apply?

  • Education: A degree or diploma or certificate in facilities management, property management, building systems maintenance, or a related field.
  • 5 years proven experience in facility coordination or management, preferably within a healthcare setting.
  • Familiarity with occupational health and safety regulations, as well as infection prevention and control practices an asset.
  • Experience or skills in minor building repairs an asset.
