Job Summary:

The Facilities Maintenance Coordinator is primarily responsible for coordinating minor repairs and maintenance of the College's buildings and grounds in areas assigned by the Maintenance Supervisor. Additionally, the coordinator will assign the daily activities of the Facilities Maintenance Worker and Facilities Worker (Grounds) and will oversee contracts for pest control and landscaping, and will also support the college recycling program. This position will report to the Maintenance Supervisor but will support all managers in Facilities with facilities request system, including follow-up communication and status updates.


Job Description:

Duties & Responsibilities:

1. Coordinates the work of contractors and Facilities Maintenance Worker for minor maintenance and repairs:

  • Organizes contractors for maintenance and repair issues, in particular glass repairs, door repairs, and flooring repairs;

  • Liaises with contractors to coordinate the work requested such as providing access, showing the site locations, scheduling, etc.

  • Receive requests for maintenance and repairs from clients and compiles listing according to priorities and departmental guidelines;

  • Attains quotes for minor maintenance and repair items. Prepares requisition for approval by Maintenance Supervisor;

  • Monitors and oversees the work of the contractors performing minor repairs or maintenance to ensure work is carried out to College's acceptable standards;

  • Conduct daily walkthroughs and visual inspections of college buildings and grounds; documents and schedules minor repair and maintenance work.

  • Prioritizes and organizes the day-to-day work orders of the Facilities Maintenance Worker. Provides resources, tools, or guidance as required;

  • Monitors and oversees the performance of the Facilities Maintenance Worker;

  • May perform the work of the Facilities Maintenance Worker, as required.

2. Coordinates ground maintenance to ensure that work is performed according to contract and standards:

  • Liaises with landscape contractor to ensure that work is performed in accordance to the service contract;

  • Performs daily inspection of the grounds (e.g. lawn maintenance, shrubs, garbage, etc.);

  • Identifies issues of concern to Facilities Supervisor as it relates to the contract performance;

  • Prioritizes and organizes the day-to-day work of the Facilities Workers (ground). Provides resources, tools, or guidance as required;

  • Coordinates coverage for absences or during peak periods for additional grounds maintenance support. Assigns grounds maintenance work to other Facilities Workers, as required.


3. Coordinates the Facilities Request tracking system:

  • Monitors and updates the status of Facilities requests entered into the system.

  • Liaises with clients and facilities personnel to gather information, provide updates, and improve customer user experience.


4. Coordinates the pest control program on campus:

  • Monitors the pest control program on campus by ensuring the pest control contractor maintains the schedule and treatment plan, as developed by the Facilities Coordinator and/or Manager;

  • Receives complaints from clients and contacts pest control company for action;

  • Liaises with contractors to coordinate the work requested such as providing access, showing the site locations, scheduling, etc.

5. Performs other related duties and/or projects, as assigned by Maintenance Supervisor or Manager.

Qualifications Required:


Education

  • Completion of grade 12 plus one (1) year post-secondary certificate related to building maintenance or facilities management.

  • Four (4) years of work experience in one or more of the related trades and/or building maintenance work, preferably in a post-secondary or large corporate environment.

  • An equivalent combination of education and experience may be considered.

  • Supervisory experience required.

  • Working knowledge of computer applications with some experience in the use of an integrated database (e.g., Ellucian Banner), an asset.

  • Knowledge of WHMIS, health and safety, and work safe regulations.


Skills & Abilities

  • Ability to communicate effectively (orally and written) in English.

  • Ability to maintain effective working relationships with faculty, staff, and administrators, and external contacts.

  • Ability to work with minimal supervision.

  • Ability to direct the work of others.

  • A good knowledge of building trades.

  • Ability to establish priorities and meet deadlines.

  • Ability to multi-task and organize work.

  • Ability to use small carpentry related hand and power tools.

  • Valid Class 5 Driver's license.

  • Basic level computer skills with working proficiency of computer applications such as MS Word, Excel, internet search engines, and email.

  • Ability to work in inclement weather.

  • Ability to work in major and minor conditions of dust, dirt, fumes, heat, cold, noxious odors, or noise.

  • Physical ability to carry out the duties of the position. Must be able to lift weights exceeding 10 kg.

  • Position is not subject to the compressed work schedule.
