Facilities Clerk

(Permanent, Full-Time)

The West Vancouver Facilities & Assets Department is currently seeking a Permanent Full-Time Facilities Clerk to join our highly qualified team. This position will provide clerical support, perform receptionist duties and will exercise considerable independence of action and judgment in processing day-to-day matters and refers more complex and unusual matters to a superior. The ideal candidate will communicate effectively with internal and external contacts in processing a variety of inquiries and complaints and to provide information and assistance. They will also prepare and maintain the database for real property including licences and leases for District facilities, land, encroachments and foreshore; and download operating and capital financial reports for review.

Reporting to the Senior Manager, Facilities & Assets, the successful candidate will be responsible for:

  • Preparing reports, maintaining and updating a variety of files, accounts and records in the Facilities computer systems;
  • Performing clerical duties for the Facilities & Assets department, answering the Facilities Help Desk phone line and monitoring facility work requests;
  • Processing documentation that requires accuracy and attention to detail;
  • Preparing invoice requests for real property agreements and processing invoice payment requests for approvals;
  • Issuing keys, fobs and access cards for a variety of District facilities;
  • Performing other related duties as required.


The preferred candidate will possess Completion of Grade 12 including or supplemented by commercial, bookkeeping and computer courses plus some related experience including general office, front desk, switchboard, or experience as a Clerk II, or an equivalent combination of training and experience.

The successful candidate will have sound knowledge of computer and word processing systems and databases related to the work. The successful candidate will be required to supply a Police Information Check.

Position Status:
Union WVMEA – Permanent, Full-Time

Hours of Work:
35 hours per week (hours and days of work may vary)

Rate of Pay:
$30.22 per hour. This position has a pay structure with five steps which increase annually.
