Job description

Facilities Coordinator
Location: Mississauga, ON
Contract Duration: 1 year
Schedule: Full-time, 40 hours a week
We are looking for a Facilities Coordinator to join a dynamic team and provide essential support for facility operations and administrative functions. This role involves assisting with various building-related initiatives, transportation programs, inspections, and contractor coordination to ensure smooth daily operations and excellent occupant experience.
Key Duties:
  • Assist with facility improvement and maintenance projects across the site
  • Coordinate with cleaning and maintenance staff for event setups and waste management
  • Manage internal booking of meeting rooms and associated resources
  • Handle key assignments, secure access, and drawer management
  • Oversee building access card issuance, maintenance, and related reporting
  • Support onboarding processes for new employees regarding facility access and orientation
  • Monitor and support utilization of shared workspaces
  • Assist with hospitality and catering arrangements
  • Help manage employee transportation programs, including budget and usage tracking
  • Develop and update both digital and printed facility resources and signage
  • Contribute to safety and security measures during events and for visitors
  • Support documentation efforts including standard operating procedures and procurement processes
  • Conduct regular building inspections to identify maintenance needs and safety concerns
Required Qualifications and Skills:
  • Strong communication skills to effectively engage with team members and clients, resolve issues through active listening, and understand customer needs
  • Proven ability to work well within a team environment, maintaining professionalism and a customer-first mindset consistent with organizational culture and values
  • Excellent multitasking and prioritization skills to manage various responsibilities independently
  • Detail-oriented with a commitment to delivering quality outcomes
  • Proficiency with gSuite applications; experience with spreadsheets, data analysis, or AI tools is an asset
