Position: Facilities & Properties Administrative Assistant (Full-time)
Hours of Work: 35 hours per week
Reports to: Director, Facilities & Properties

Position Summary
Responsible for providing a broad spectrum of project and facilities related administrative support to the Facilities and Properties Department such as Work Order System coordination, procurement, housing and facilities business relations.
Responsibilities
- Serves as a key contact for facilities and housing business relations.
- Tracks complaints to ensure problem solving and closure.
- Maintains database with residents and caregiver support contact information.
- Prepares general correspondence, social media content, updates using the appropriate communication channel to engage with residents, clients, caregivers, staff and visitors.
- Promotes and oversees facilities cost centers such as hair salons, parking, lockers, maintenance, janitorial services and other services.
- Assists with the planning and coordination of project and facilities activities coordinated by the department on an as-needed basis.
- Documents and tracks service data for the building infrastructure and its components.
- Comply with external and internal health and safety legislations, policies and procedures that govern the work environment and responsibilities.
- Provides direct support to emergency management initiatives as needed.
Education
- Post-Secondary education in Business Administration or Facilities/Property Administration.
- Approved equivalent combination of education and experience.
Skills & Experience
- Minimum two years administrative experience.
- Customer service with strong problem-solving skills.
- Ability to organize, prioritize and manage time effectively.
- Interpersonal and communication skills (written and verbal).
- Proficiency in Microsoft Office, specifically Word, Excel and PowerPoint, social media.
- Strong organizational skills with attention to accuracy, details and the ability to prioritize.
- Ability to input data accurately and efficiently.
- Ability to conduct research, analyze data and present.
- Ability to work with cross-functional teams effectively.
- Ability to understand instructions well and provide desired output accurately.
- Ability to maintain confidentiality.
Working Conditions
- Sitting in front of computer terminal for long periods of time.
- May have frequent work interruptions.
- May be exposed to agitated and confused clients.
