Job summary

The University of Guelph seeks an experienced administrative professional to support the Experiential Learning team, coordinating postings, audits, and records for campus-community programs.

You will liaise with employers, staff and students to ensure compliant, streamlined experiential learning activities and data integrity across Work Study and related programs.

Qualifications

  • Two-year college program in HR or Post-Secondary Services Administration with at least 2 years of relevant experience.
  • Advanced knowledge of Smartsheet, SharePoint, and Microsoft Office 365 (Teams, Outlook, Word, Excel, PowerPoint).
  • Excellent written and oral communication, high accuracy, and strong multi-tasking abilities.

Responsibilities

  • Develops, executes, and assesses SOPs for experiential learning programs.
  • First contact point with employers, staff and faculty for experiential learning support.
  • Verifies and enters employment activity records and manages course descriptions in Experience Catalogue.

General Purpose

TheExperientialLearningHub collaborates with campus, industry and community partners to provideexperientiallearningopportunities that enable students to apply and advance theirlearningin a real-world context.

Duties and Responsibilities
  • Develops, executes, and assesses all standard operating procedures relating to experiential learning programs and services offered through the EL Hub Campus and Community Integrated Learning team.
  • Is the first point of contact with employers, staff and faculty as it relates to experiential learning support.
  • Connects stakeholders to Experience Guelph, an Outcome product by Orbis Communications, providing guidance to ensure that navigating the system and process is as easy and efficient as possible.
  • Verifies and enters employment activity records, updating thousands of records with validated hours worked.
  • Enters and updates hundreds of course descriptions for all experiential learning courses found in the Experience Catalogue.
  • Acts as the primary administrative support person for all EL activity validators and program coordinators.
  • Works closely with the Manager, Campus and Community Integrated Learning in tracking experiential activities offered through courses, programs and/or clubs.
  • Provides program support for on campus employment, Work Study, URA, USRA, GAAP, SWPP, and other programs tracked through the system.
  • Liaises with existing and new employers to support the job and volunteer posting and application process, manages interview activity and updates statuses.
  • Conducts an audit of existing contacts and student employment and activity records, ensuring all identified reporting data has been entered in compliance with departmental and postal standards.
  • Processes registrations for all campus employers.
  • Coordinates marketing requests for the Campus and Community Integrated Learning team.
  • Provides administrative and logistical support to the Campus and Community Integrated Learning team and backup support to other administrative staff as required.
Requirements
  • Two (2) year Community College program, preferably in Human Resources or Post-Secondary Services Administration along with at least two (2) years of relevant experience within a Human Resources/Client Services or Administrative Office, preferably in a post-secondary educational environment. Undergraduate degree in social sciences or education preferred. A relevant combination of education and experience may be considered.
  • Advanced knowledge of Smartsheet, SharePoint, and Microsoft Office 365 (Teams, Outlook, Word, Excel, PowerPoint, etc.).
  • Must have a high degree of accuracy and attention to detail along with outstanding written and oral communication skills.
  • Essential to have excellent multi-tasking skills while working in an often-stressful environment with competing deadlines.
  • Must have exceptional diplomacy and tact when working with employers, students and staff.
  • Knowledge of experiential learning theory and best practices is an asset.
  • Knowledge of university policies and procedures preferred.
  • Experience with Orbis-based software is an asset.
