Executive Personal Assistant to UHNW CEO

Full-time, Permanent

Salary: $85-90k

Downtown client requires an Executive PA to join their team. The Executive Personal Assistant to the UHNW CEO is a trusted and discreet right hand, providing high-level personal and executive support across all facets of the CEO’s life. This role demands exceptional organizational abilities, emotional intelligence, a proactive mindset, the highest level of confidentiality, and the ability to operate with precision in a fast-paced, dynamic environment. The ideal candidate is a self-starter, proactive, tech-savvy, and anticipatory — someone who excels at managing complexity, stays ten steps ahead, and brings a high-touch, detail-oriented approach to everything they do.

Responsibilities:

  • Manage complex and frequently changing calendar, scheduling personal and professional commitments.
  • Coordinate family schedules and in-town travel; manage school and extracurricular logistics, including sports activities and summer camp.
  • Prioritize and gatekeep incoming requests for the CEO’s time and attention.
  • Draft, proofread, and manage sensitive correspondence (emails, letters, briefing notes).
  • Coordinate and attend high-level meetings, take notes, and follow up on action items.
  • Work closely with accountants to support year-end financial reporting, assist with payroll coordination, and ensure timely submission of all required documentation.
  • Manage confidential information related to business, personal finances, and legal matters.
  • Coordinate domestic and international travel for both personal and business purposes, including flights, accommodations, ground transportation, and detailed itineraries.
  • Plan and execute personal and corporate events, overseeing guest lists, managing event logistics, and coordinating with vendors and contract services.
  • Maintain organized document and file systems, ensuring accurate record-keeping and efficient information retrieval for both personal and business needs.
  • Monitor operations across multiple properties, including coordinating maintenance schedules, booking home services, managing renovations, and addressing unexpected issues.
  • Oversee purchases, gifting, product returns, and ad hoc personal errands.
  • Manage and oversee personal tasks, including the payment of household bills, grocery and supply orders, and monitoring expenses.
  • Work closely with legal and financial advisors to maintain personal and corporate records.

Qualifications:

  • Minimum 3–5 years of experience supporting a C-level executive, preferably in a UHNW or private family office setting.
  • Outstanding organizational and time management skills.
  • Discretion and ability to maintain absolute confidentiality.
  • Self-starter, able to work independently without a lot of guidance, in a very small environment.
  • Proactive, resourceful, and able to anticipate needs before they arise.
  • Excellent written and verbal communication skills.
  • Strong judgment and ability to make decisions independently.
  • Tech-savvy with proficiency in Microsoft Office Suite and scheduling/travel apps.
  • Bachelor’s degree or equivalent experience.
