Job description

Location : Downtown Toronto, Hybrid

Salary : Range starting at $95,000 and up depending on experience + bonus and other incentives.

Our client, a well-established real estate investment firm, is seeking an experienced Executive Legal Assistant to support senior leadership and manage legal documentation across a range of complex real estate transactions.

This is a unique hybrid role combining executive administrative responsibilities with legal coordination and documentation.

Key Responsibilities :

Legal Support

  • Manage daily legal documentation and signatures for real estate transactions
  • Identify applicable legal entities and liaise with external counsel
  • Coordinate internal approvals and digital record-keeping
  • Maintain filing systems and prepare closing binders
  • Ensure timely response to urgent legal matters, occasionally outside business hours

Executive Assistance

  • Provide high-level support to the Head of Investments, including calendar management, meeting preparation, and light travel coordination
  • Lead weekly investment team calls : prepare materials, take notes, and manage agendas
  • Handle expenses, coordinate calls, and provide limited personal support where needed

Qualifications :

  • 3+ years of experience in a legal administrative or law clerk role within a real estate law firm or real estate organization
  • Legal Assistant or Paralegal diploma required; an undergraduate degree is a strong asset
  • Notary Public designation is highly preferred
  • Proficient in Microsoft Office, Adobe, DocuSign; familiarity with Concur is an asset
  • Experience managing complex legal entity structures
  • Strong judgment, independence, and ability to thrive in a fast-paced, high-stakes environment
